The Role


The Office and Communications Assistant will be responsible for managing and auditing the expense reporting process and system, booking of travel and travel related vendor management, assisting the site General Manager, Business Controller and HR Manager in various administrative support activities, company sponsored events, visitor/guest planning and internal communications.


ESSENTIAL DUTIES:

  • Primary site contact to facilitate and prepare travel arrangements, hotel accommodations and itineraries for out-of-town guests and Product Company employees.
  • Program administrator for corporate credit cards, reconciling monthly statements for company-paid accounts and ensuring related processes and procedures are followed.
  • Administrator and auditor for expense reporting system and setting up new users. Retrieve data and generate reports monthly, or as needed.
  • Create and post HR, Safety and business-related information and updates via internal TV system.
  • Order site office supplies via requisition, maintain office supply inventory for commonly used items.
  • Open and route incoming mail for site.
  • Answer incoming calls from lobby phone or external line and route as needed.
  • Functions as a liaison and planning coordinator between departments and visitors.
  • Assist in planning and organizing corporate events, such as all employee site meetings, company sponsored celebrations, business meetings and onsite training.
  • Other related projects or assignments as requested by the General Manager, Business Controller or HR Manager.

What we expect of you?


REQUIRED KNOWLEDGE AND SKILLS:

Minimum 2 years of experience in a similar role

PC skills, including proficiency in Word, PowerPoint, basic Excel

Must demonstrate high attention to detail

Team player attitude and approach to work

Energetic, creative, positive attitude

Professional demeanor, ability to handle sensitive information appropriately


EDUCATION OR QUALIFICATIONS:

A high school diploma; some college or further education preferred.


PHYSICAL REQUIREMENTS:

Must be able to move about manufacturing site periodically as needed to complete job responsibilities.

Lifting is minimal and occasional – up to 20 lbs.
