Job Summary:
We are looking for an experienced Administrative Assistant to perform various administrative and clerical tasks. You will undertake a variety of activities in the office ranging from billing jobs to basic record keeping. You will need to have the ability to work diligently to help maintain smooth operations. You must be reliable and hardworking with great communication skills.
Job Responsibilities (Including, but not limited to):
- Work closely with Project Manager to assist with billing
- Create and organize job folders. Ensure all time on cost reports has the corresponding timesheets from HHS employees, subcontractor invoices, hourly worksheets, splicing cutsheets, material/control invoices, if applicable
- Maintain files/records, consolidate required information into job folders so they remain updated and easily accessible
- Identify jobs from log, and look up job cost reports
- Collect information and perform data entry
- Performs other duties as assigned
Required Skills & Qualifications:
- Proven experience as an administrative assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficient in MS Office (especially Excel); Working knowledge of relevant software (e.g. adobe)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High school diploma or equivalent; college degree preferred
Desired Skills & Qualifications:
- Familiar with splicing is a plus
- Background in construction billing is a plus
