The Fleet Manager is responsible for planning and directing the programs for acquisition, assignment, utilization, maintenance, repair, replacement, and disposal of company leased and owned light duty fleet vehicles, chassis, and trailers. The includes all registration, titling, insurance and permitting activities. The Fleet Manager will also supervise and coordinate the company fuel card and IVMS reporting to ensure the operational effectiveness and excellence of each program.
Essential Functions Statement(s)
Fleet Management
- Direct and maintain the business unit’s fleet management system, keeping it up to date for all fleet vehicles while performing regularly scheduled asset audits.
- Analyze data to create and distribute periodic reports on owned and leased vehicles to help management maximize utilization, manage cost of ownership and develop appropriate projections.
- Develop means and methods to track equipment trends, making suggestions to management regarding acquisitions and disposals.
- Work with vendors to evaluate new technology/upgrades on vehicles, related to efficiency/energy improvement, maintenance cost reduction and life cycle improvement.
- Define cost savings/ROI and provide recommendations to management.
- Work with operations teams and 3rd parties to track and evaluate repairs and costs for life of each vehicle to be reflected in financial forecast and annual budget.
- Maintain all titles for company owned vehicles and trailers.
Insurance
- Assist with insurance filings for recordable/non-recordable accidents to insurance carrier.
- Maintain insurance additions/deletions and provide data for annual policy renewal.
- Gain knowledge of and application of insurance filings for various insurance companies for coverage of company vehicles/accident filings and follow through.
Fuel Card and IVMS
- Manage the company fleet card program including assignment and tracking of fuel cards.
- Enhance fuel usage reporting and provide utilization and cost-savings recommendations.
- Coordinate the In Vehicle Monitoring System (IVMS) program for all business units, including IVMS driver scorecard management.
- Responsible for light duty vehicle maintenance tracking and integration into IVMS platform
- Review all IVMS scheduled reports for driver events, violations and equipment problems.
- Conduct IVMS program training within the assigned business unit on an as needed basis
- Provide IVMS data analysis and support by working with drivers and management to improve driving behavior.
- Company-wide Geoforce GPS administration
Financial
- Support accounting team through monthly close process to ensure all fleet and fuel card expenses have been properly analyzed, reconciled and allocated to the appropriate business unit.
- Undertake ad hoc financial analyses of specific operational support as directed by management.
- Assess and evaluate business unit fleet expenses with regard to long and short-term financial goals, budgets, and forecasts.
- Perform operational variance analyses to identify favorable or unfavorable business trends.
- Partner with accounting team to ensure accuracy of monthly financial statements.
- Ensure adequate financial controls are in place for the business unit.
POSITION QUALIFICATIONS
SKILLS & ABILITIES
Education:
Associate degree in logistics, business administration, automotive technology or other relevant field, bachelor’s degree preferred.
Experience & Skills:
- Energy industry experience preferred, but not required (3-5 years)
- Strong analytical skills and experience; ability to recognize, analyze and solve complex problems.
- Ability to digest financial information, render judgment, create context and pattern recognition.
- Strong leadership skills with the ability to drive collaboration and cooperation across the company.
- Executive presence to deliver financial results and provide financial advice with confidence.
- Ability to collaborate with other support service departments (legal, supply chain, development, etc.)
- High proficiency with Microsoft Office products (Word, PowerPoint, Excel)
