Summary/Objective:
Ensures complete and accurate compliance with State, Federal, and D.O.T. requirements regarding Driver Hours of Service Logs, licenses, and physicals. This position requires extensive communication with drivers over the phone and face to face.
Essential Function:
- Trains drivers on electronic logs and regulations (ELD).
- Immediately addresses driver ELD malfunctions or assists in logging in.
- Interface with ELD/DOT supporting agencies to ensure compliance.
- Provides administrative support, including filing, data entry, and record keeping – ensuring the confidentiality of all documents.
- Conducts in office/virtual training.
- Sends out approved communications to field staff.
- Ensures all new hires receive a driving test with supporting documentation (ride-along).
- Ensure DOT Hours of Service compliance.
- Input and Verify/Receive DOT Logs.
- Maintaining DOT Files, Driver qualification Records.
- Monitor Gorilla Fleet Systems Vehicle Maintenance reports
- Track and maintain DOT physical Cards.
- Ensure driver tracker files are valid and notify drivers when they are expiring (CDL, MVR, Med Card).
- Order and distribute PPE.
- Monitor CSE Scores, and Samba Safety.
- Ensure all vehicle registrations are kept current and in vehicles.
- Keep current with DOT and FMSCA rules and regulations by attending seminars.
- Ensure and manage driver files and vehicle records for vehicle monitoring and electronic logging.
- Contributes and implements process improvements.
- Maintains communication with department managers, driver managers, and drivers.
- Conducts internal DOT Audits and makes corrections.
- Ensure company is always DOT Compliant.
- Manage the monthly renewals for all fleets, individual units, and assets.
- Obtain and understand the permits requested and required for any transportation provided.
- Understand, formulate, and file International Fuel Tax (IFTA) weekly and/or quarterly.
- Performs other duties as assigned.
Work Environment & Physical Demands:
This job operates in a professional office environment as well as in the Field and Shop with drivers and equipment. Must be able to sit for long periods of time using a computer.
Expected Hours of Work:
This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m.
Travel:
Periodic travel may be required.
Required Education and Experience:
- High School Diploma.
- Office Administrative Experience.
Preferred Education and Experience:
- Two (2) years of office experience.
- DOT education in DOT audit process.
