Job Description:
The Administrative Assistant will serve as the primary contact and support for multiple senior leaders within Academic Affairs, specifically for scheduling and meeting preparation. Assists with the day-to-day operations of the Office of Academic Affairs. Acts with discretion and independent judgment. This individual serves as the primary manager for contracts requiring the Vice Chancellor for Academic Affairs & Provosts review and signature. Collaboration with units across Academic Affairs and campus wide.
Qualifications:
- Bachelors degree and a minimum of 3-5 years of varied administrative experience required.
- Prior experience working in a college or university setting, highly desirable.
- Excellent verbal and written communication skills are required.
- The ability to learn, interpret and apply policy and procedures are a must.
- Diplomacy, problem solving and ability to work without direct supervision required.
- Requires the willingness and flexibility to effectively handle the multiple and changing demands inherent in operating a small office serving the entire university.
- Knowledge of university operations and their related systems is highly preferred.
- Technical skills include competency in MS Office.
- Primary contact for multiple senior leaders within Academic Affairs: scheduling and meeting preparation. Acts with discretion and independent judgement.
- Assist with day-to-day operations of the Office of Academic Affairs; greet and direct visitors at the front desk; triage phone inquiries and perform due diligence as necessary; open and prioritize incoming correspondence; inventory kitchen & office supply and order when necessary, maintain database of physical files residing in the Office of Academic Affairs and coordinate regular archiving of files with University Records Management. Responsible for maintaining all listservs and reference lists.
- Manage contract processing that requires the Vice Chancellor and Provosts signature. In coordination with the other University offices such as the University Counsel, Comptroller, and ITS.
- Handle Provosts travel logistics & coordinate with other departments.
- Support units included in Academic Affairs as needed.
