Overview

Duties and responsibilities include performing all assignments necessary to assist the Director of Lifelong Learning Seminars and a Senior Advancement Associate. These duties include: communicating with donors (from potential to major), managing the office in supervisor’s absence, registering guests for events and processing payments, compiling event materials, assisting at various events, and entering data and maintaining donor records.

Responsibilities

Lifelong Learning Seminars:

  • Manage office in Director’s absence. This involves a great deal of decision-making.
  • Assist with all aspects of Lifelong Learning Seminars, Freedom Forums, and Estate Planning luncheons; assist with miscellaneous other events.
  • Assist with research of potential event sites and excursions.
  • Answer telephone – toll-free line, direct line, and director’s (when absent).
  • Interact with donors/potential donors, answer questions.
  • Maintain and reconcile guest lists and guest counts for various events and maintain event records.
  • Process event payments and reconcile the MasterCard account.
  • Coordinate attendee information with IA aide/event assistant.
  • Coordinate shuttles, other transportation needs for LLS guests.
  • Coordinate and compile lecture materials; compile and arrange shipping of materials for events.
  • Assist with and attend events as required, including setting up and running registration table as needed.
  • Order, compile, and distribute/ship LLS book orders.
  • Data entry and scanning.
  • Process daily mail.
  • Handle miscellaneous correspondences, proofread invitations, travel vouchers, miscellaneous shipping requests, etc.
  • Prepare and mail quarterly Trustee ‘thank you’ letters.
  •   

    Senior Advancement Associate:

  • Prepare miscellaneous correspondences (ie: visit requests, Christmas letter, thank you letters, etc.).
  • Type, proof, and process call reports; prepare/compile follow-up materials and other actions as directed.
  • Reconcile MasterCard account, draft and submit travel vouchers.
  • Plan and assist with any donor campus visits (flights, transportation, accommodations, meals, etc.).
  • Pull lists and reports from Raiser’s Edge (event attendee lists, names for visit requests, scholarship documents, etc.).
  • Serve as liaison with other departments, guests, and general public.
  • Qualifications

    QualificationsTo perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

     

    Education and Experience

    High school diploma or equivalent required. Associate’s degree is preferred, plus 2 – 3 years of prior experience in a business office experience or an equivalent combination of education and experience sufficient to demonstrate the ability to perform the job.

     

    Other Skills

    1. Ability to manage the office during frequent absences of the Director of Lifelong Learning Seminars and the Senior Advancement Associate. 2. Possess good organizational skills with the ability to multi-task. 3. Ability to understand and follow oral and written instructions and effectively express ideas orally and in writing. 4. Ability to keep calm and remain personable under pressure. 5. Ability to work in a fast-paced environment with numerous deadlines. 6. Knowledge of basic computer programs (Word, Excel, Outlook). 7. Possess strong grammar and letter writing skills 8. Possess excellent verbal communication skills. 9. Possess excellent interpersonal skills. 10. Possess sound judgment and maturity.

     

    Physical Requirements

    Ability to read, write, hear, speak, see and communicate effectively. Ability to operate basic office equipment to include, photocopier, fax machine, adding machine, computer equipment, and the like. Position is largely sedentary. Occasional lifting of office supplies, booklets, etc. is necessary.

      

    Personal Characteristics

    The Lifelong Learning Seminars office and Senior Advancement Associate aide will interact with College staff and current and prospective donors. A clean and neat appearance and pleasant demeanor that are supportive of the College mission are essential. Employee needs to be pleasant, supportive, and professional, while also maintaining confidentiality.
