HLW is looking for a talented Marketing Coordinator to join our passionate, growing team!
Position Summary
We are seeking an experienced Marketing Coordinator to join our US Marketing team. This role will work closely to support the business development team strategize and create competitive marketing proposals and other presentation materials for prospective clients. They will support the office’s general marketing needs across research, copywriting, project data sheet coordination, creative assets, and managing opportunities & reports through our CRM. The ideal candidate for this role is proactive, creative, detail-oriented, with an ability to collaborate & communicate effectively, manage multiple projects simultaneously, and meet deadlines. This position is hybrid with 3 days onsite, 2 days remote.

Job Responsibilities
- Coordinate and develop RFP-compliant, responsive, competitive marketing proposals & other presentation materials for prospective clients.
- Carefully review incoming RFP requests to understand & outline proposal requirements, seeking clarification from the client if needed.
- Establish and manage timelines, communicating frequently to relevant parties to ensure each proposal is optimally prepared, reviewed, and delivered on time.
- Gather all necessary proposal elements from coordinating directly with Principals, internal project teams and external partners as needed.
- Ensure that a quality review is conducted on every proposal.
- Participate in pre-positioning strategy meetings.
- Proactively conduct research related to each opportunity in order to propose a strategic approach & positioning for the presentation.
- Compile appropriate project descriptions, resumes, organizational charts tailored to the client/pursuit objectives.
- Maintain & track opportunities in CRM, generate reports for leadership and work with the Client Relations on opportunity Win/Loss Feedback.
- Prepare additional marketing content to support campaigns across other channels – internal communications, digital media, industry-events, etc.
- Collaborate with global marketing team, cross-share best practices, insights and problem-solve when faced with challenges.
Role Qualifications
- 3 Years of relevant experience including preparing bids, tenders, or with RFP writing
- Visual communications / graphic design skills
- Proficient in MS Office & Adobe CS, InDesign
- Experience using a CRM (Deltek and/or Dynamics preferred)
- Strategic mindset, ability to think out-of-the-box and propose creative ideas
- Efficient, excellent attention to detail
- Ability to anticipate, plan and meet deadlines
- Strong written skills, ability to apply brand standards to copywriting within marketing presentations
- Ability to articulate and communicate effectively across various levels of seniority within firm
- Ability to work well as part of a team and to meet demanding deadlines

The expected salary range for this position is $70,000-$90,000. We will consider relevant experience, qualifications, location and other job-related factors in determining compensation.
