JOB SUMMARY:
You will work in partnership with the Director of Advancement (DA) and Executive Leadership to coordinate community events and critical support to the donor lifecycle. This role enables Ho’ōla Nā Pua to remain connected and engaged with the community at large. Your ability to efficiently execute tasks and communicate personably while maintaining brand integrity will make you successful in this role.
This full-time position will assist with events, donor cultivation, mailings, grants, administration, and general office tasks. On a daily basis you will collate, review, and distribute material about Ho’ōla Nā Pua’s (HNP) mission, programs, and fundraising. This includes internally updating, maintaining, and processing fundraising spreadsheets and working within the donor database to help manage and coordinate stewardship of donors and business relationships. You will execute external communications such as form letters, donor acknowledgment communications, thank you cards, and other correspondence from within the donor database.
Annually you will assist in the distribution of the Annual Impact Report and are involved with planning the Communications calendar in partnership with the DA to achieve organizational objectives. You will coordinate production and distribution of annual appeals, end of year tax letters, and other annual communications with donors and prospective donors as needed. Based on need, you may be requested to conduct identification and qualification of donor and partner capacity through prospect research.
Coordination Tasks:
- Works to coordinate events with DA to provide pre and post event support and to assist with other projects as needed
- Manage all donation processing, receipting, acknowledging, thank you cards, and pledge management activity
- Create, maintain, and execute queries and reports that track fundraising progress
- Coordinate volunteers for fund development and public relations activities
- Support development staff on creation and distribution of newsletters, online appeals, and E-blasts
- Enter data accurately and in a timely manner with high attention to detail
- Work with staff to create, update, and maintain data entry standards and ensure the database is used properly by all staff members and meets the needs of the organization, while overseeing data integrity
- Produce gift acknowledgements and pledge reminders
- Oversee donor stewardship activities such as assigning thank you calls, updating gift acknowledgement language and templates, coordinating week of gratitude, etc.
- Create and interpret regular fundraising status reports, conduct queries to retrieve data, and create lists based on requested parameters when requested by staff
- Manage accounts for donation and matching gift programs
- Prepare schedules and support documentation for the annual audit cycle in coordination with the DA
- Collaborate with DA and marketing and communications manager on mailings, events, reception duties, and support smooth office operations
- Coordinates ordering of collateral, tracking and ordering of merchandise, and researching new opportunities.
- Coordination of volunteers to help staff community events and fundraising events.
QUALIFICATIONS:
- Event coordination experience
- Data entry experience
- Experience in a nonprofit setting/fundraising environment
- Project coordination experience
- Experience with databases and online giving platforms (we use Donor-Perfect and Give-Cloud)
- Familiarity with gift processing and/or fund-raising principles
- Experience or equivalent combination of training and experience in customer service
- Excellent judgment and decision-making abilities
- Computer proficiency in MS Office especially Microsoft Excel
Knowledge and Ability
- Handle confidential donor information with sensitivity, integrity, and accuracy
- Organize and prioritize work in accordance with supervisory input
- Demonstrate strong organizational and analytic skills

- Flexible to work outside the normal schedule to accommodate and support evening events and occasional weekend fundraising/volunteer projects (phone-a-thons, etc.)

Job Type: Full-time
Pay: $45,000.00 - $55,000.00 per year
