Job Summary



This position is responsible for the general reception area with the core responsibilities of answering phones and directing calls.  In addition, this position performs a variety of clerical and administrative functions in support of the business.



Essential Responsibilities


  • Answer multi-line telephone system, screen and direct calls, take and relay messages to appropriate personnel in a friendly and professional manner.
  • Admit and greet visitors.
  • Coordinate and maintain meeting areas for guests, and perform other building administrative duties as needed including kitchen maintenance, stocking and cleaning.
  • Perform back-up printing, binding and shipping duties.
  • Receive, sort and forward incoming mail.
  • Coordinate and communicate opportunities for employees to attend external events.
  • Maintain a professional, neat and organized appearance in reception and meeting areas.
  • Make hotel and event reservations for guests and company events when needed.
  • Assist other departments with overflow work as needed.

Requirements

Key Competencies
 

  • Exceptional written, verbal and listening communication skills.
  • High degree of discretion when dealing with confidential information.
  • Knowledge of operation of standard office equipment and clerical procedures.
  • Formal training in customer service and reception duties.
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments.
  • Exceptional organizational skills, ability to perform multiple tasks and prioritize them.
  • Proficient with Microsoft Office: Word, Excel, Access and PowerPoint.
  • Attentive to detail, takes initiative, reliable, high stress tolerant, multi-tasker, ability to work independently. 

 
Experience and Education Requirements


  •  High School Diploma Required
  • Two years’ experience performing general administrative and clerical duties

 
 

Work Environment/Physical Demands

While performing these duties, the employee is regularly required to talk or hear, frequently required to stand, walk, use hands or finger, handle or feel; reach with hands and arms; lift up to 20 pounds. This position routinely uses standard office equipment. This position travels frequently.
