Housing Works fights for funding and legislation to ensure that all people living with HIV/AIDS have access to quality housing, healthcare, HIV prevention, and treatment, among other lifesaving services.

This position is included in a bargaining unit of Housing Works’ New York City employees represented by a labor union known as the Retail Wholesale and Department Store Union (“RWDSU”). Accordingly, the RWDSU has the exclusive right to bargain over the terms and conditions of employment related to this position and this position may become covered by the terms of a collective bargaining agreement (a “CBA”) between Housing Works and the RWDSU
Compensation Range: $19/hr - $22/hr commensurate with experience.
Overview:
The Program Assistant plays a crucial role in supporting the day-to-day operations of the program by performing essential data entry tasks, providing administrative and logistical support, and assisting program staff in ensuring efficient program management. This role requires a strong attention to detail, excellent communication skills, and the ability to handle multiple responsibilities in a fast-paced environment. This position is ideal for someone who is organized, proactive, and capable of managing a diverse range of administrative tasks to support the success of the program.
Responsibilities:
Primary Job Function:
- Data Entry and Metrics Tracking: Accurately input program performance metrics to help monitor and evaluate the program's success. Ensure all data is correctly entered and updated in a timely manner to maintain up-to-date reporting for the program.
Secondary Job Function:
- Administrative and Logistical Support: Provide administrative and logistical assistance to program managers, ensuring smooth daily operations.
Other Responsibilities:
- Develop and maintain an effective database to track furnishings, supplies, and other program equipment.
- Ensure proper posting of Human Resources Department notices and required documents at the program site.
- Write and distribute memos, flyers, and other materials to clients as needed.
- Provide administrative support to program managers and team members by organizing information and compiling reports.
- Assist in planning and managing program events, including meetings and training.
- Maintain staffing schedules.
- Assist with information management, including the organization, compilation, and processing of client-related and program data.
- Order and manage supplies for the program.
- Take detailed minutes during program and staff meetings, and distribute them in a timely manner.
- Enthusiastically participate in advocacy and direct actions to end the twin crises of homelessness and HIV/AIDS.
- A high school diploma or GED plus a minimum of three (3) years of office or administrative experience; a bachelor's degree is preferred.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint) is essential.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills, with the ability to interact with all levels of staff and clients.
- Must be dependable, flexible, and able to prioritize tasks effectively in a dynamic team environment.
- Ability to work independently and as part of a team with minimal supervision.
- Strong interpersonal skills, with a focus on delivering excellent internal and external customer service.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Able to lift 10 lbs with proper assistance and tools.
- The Program Assistant position is one which requires the staff person to be present in the program site 100% of the time.
