The Operations Support Coordinator will work directly with the Director of Operations providing overall office management and operations support to the organization at our Fairport, NY location. The Operations Support Coordinator will report to the Fairport office Monday through Friday and be available to staff during business hours.

RESPONSIBILITIES:
Office Management and Sales Support:
- Answer main phone lines
- Point of contact for visitors and deliveries
- Handle inbound and outbound mail for the office
- Order supplies and manage inventory
- Assist with office facilities and technology requests
- Vendor management support
- Training material print requests
- Sales support utilizing the Salesforce CRM
- Distribute incoming sales inquiries to the Sales team
- Process and distribute new client agreements and amendments
- Process client product and service cancellations
- Assist Marketing Manager with marketing-related projects as needed
HR Operations Support:
- Employee status change support
- New hire setup
- Coordinate birthday, anniversary, and life event cards/gifts to employees
- Assist HR Manager with HR-related projects as needed
Technical and Systems Operations Support:
- Handle basic employee inquiries for equipment and other systems or account inquiries/issues
- Hardware inventory management
- Salesforce, SharePoint, Zoom, 1Password software management (password resets, ongoing support, and maintenance)
- Miscellaneous project support
- Create process documentation, videos, and other training materials
- Assist employees with technical systems training as needed
Other Duties:
- Maintain a clean, safe office environment for all employees
- Office-related vendor management
- Act as main point of contact to provide resources and information to staff.
QUALIFICATIONS:
- Minimum 5 years office management-related experience or 4-year college degree in any business, technology, or human resources-related field.
- Proficiency with Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, Teams, SharePoint, OneDrive). Experience with HRIS or LMS systems, Salesforce, Constant Contact, or other CRM experience
