Summary
The Executive Assistant is an integral member of the Retirement Planning team. A successful Executive Assistant will always be friendly and helpful while providing support to the Retirement Team and others in the office as needed.
Responsibilities:
Executive Support
Manage a wide variety of projects, documentation, reports, and communications under the general direction of the Executive.
Coordinate meetings and complete timely and accurate minutes as needed.
Coordinate pre-authorized payments and credit card payments for a variety of vendors as needed.
Coordinate a variety of travel details for the Executive and guests of HUB.
Events Coordination
In office events such as birthdays, lunches, potlucks, business meetings and employee celebrations
External events on behalf of the Executive such as holiday party, town hall and other social functions in coordination with the region.
Coordinate HUB Gives initiatives at the direction of the Executive.
Coordinate corporate tickets for sporting events, insurance conferences and activities.
Be a part of the regional Culture Ambassador team to help organize/lead events as per the Executive Leadership Committee’s availability and budget allowed.
Qualifications:
High School Diploma or GED required; post-secondary education in office administration is a plus/desired
Standard office administrative practices and procedures, including the use of standard office equipment
Outgoing, friendly with strong demonstration of teamwork
Strong proven organizational skills
Proactive approach to problem-solving
Good oral communication and interpersonal skills
Self-motivated
Ability to meet deadlines in a timely and efficient manner
Department Office Administration & Clerical
Required Experience: 1-2 years of relevant experience
Required Travel: No Travel Required
Required Education: High school or equivalent
