PRH - HR CoordinatorPrimary Responsibilities: Support all Human Resources team members in the regular day-to-day activities, reports and special projects for Prince Resorts Hawaii, Prince Waikiki and Hawaii Prince Golf club. Greet employees in a friendly manner and provide assistance in all HR related inquiries. Assists with planning and administration of employee events, benefits administration, recruitment, budget & financial reports and communications. Handles personnel files, medical records, legal documents & communications with confidentiality.Essential Duties: 1.Assist the Corporate Director of Human Resources and the Human Resources management team in the regular, day-to-day activities; handle phone calls, open mail, coordinate interviews & appointments. 2.Coordinate company-wide communications and announcements related to Human Resources, including designing posters and informational flyer. Manage all internal hotel and Human Resources communications and announcements. 3.Manage confidential materials, including personnel records: current, terminated and medical files. 4.Manage and administer parking, movie tickets, meal tickets, name tags, ID cards and Shoes for Crews programs. 5.Creates, tracks & monitors purchase orders through purchasing program for all benefits and other HR requests. 6.Handles arrangements for travel, training classes, retreats, meetings & events. 7.Assist in coordinating education/training classes and Human Resources related events, activities, and programs. 8.Assist in the production & upkeep of policy manuals, employee handbooks, & training materials. 9.Assist with planning and coordination of employee events, activities and programs. 10.Distribute all required annual reports & communications to employees as required by law. 11.Complete surveys & reports: Medicare eligibility, Multiple Worksite, EEOC, HEC, Quarterly Wage Reports, etc. 12.Maintain department files for reports and correspondence. 13.Order and stock supplies and forms. 14.Distribute incoming and outing mail. 15.Handle special projects and perform other duties as assigned. Other Duties: 1.Assist with Payroll’s special projects as needed. 2.Assist with all corporate wide programs and initiatives. 3.Key operator of office equipment, arranging maintenance or replacement as needed. 4.Keep office neat, clean and organized. 5.Ensure timesheets are submitted accurately and make adjustments as needed. 6.Represent the Human Resources department and the hotel company in a professional manner at all company events. 7.Perform all other duties as assigned. Working Conditions: •Normal office setting with minimal exposure to outdoor working conditions. Work Hours: •Must be able to work hours set by the Corporate Director of Human Resources and Director of Human Resources. •Must be able to work in excess of 40 hours per week, evenings or weekends as needed. Equipment Use: •Proficient in the use of a computer and with the hotel’s word processing, spreadsheet, email, & PowerPoint required. •Working knowledge of payroll programs and any other additional HR software required. •Proficient in the use of design and photo editing programs preferred. •Must be able to use various office equipment including: multi-line telephone, calculators, photocopiers, and facsimile machines. Mental and Physical Demands: •Must be able to multi-task, prioritize and organize workload to ensure deadlines are met. •Must be able to sit at a desk for the full duration of the work shift. •Must be able to walk throughout the hotel. •Must be able to occasionally drive to golf course or other off property locations as required. •Must be able to demonstrate a cooperative team spirit, positive attitude, respect towards diversity, and a high regard for confidentiality. Communication Demands: •Excellent verbal and written communication skills with all levels of applicants, employees and guests required. •Ability to communicate clearly over the phone required. •Ability to be able to conduct group presentations preferred. Minimum Qualification Requirements: •Bachelor's degree. •Two years of related work experience in a customer service setting required.
