What are the responsibilities and job description for the Office Administrator position at HYTORC?

General Purpose

Assist the Branch Manager and staff with warehouse, office operations and customer support.   

 

Essential Duties and Responsibilities  

Inventory/Supply

  • Process technician parts orders and transfers to maintain inventory levels, and track back ordered parts for all van, office, or satellite locations.
  • Complete requests for RA’s, Stock level management, part identification, etc., as needed.
  • Review Parts inventory report for proactive supply orders
  • Ordering supplies (Branch office and Mobile Service Techs)
  • Support shipping process. Duties may include: Preparing items for shipping, completing shipping documents, and tracking shipments.
  • Support the Van and Distribution Center inventory audit process.
    • Participating in counts, keying counts into spreadsheets, and variance reconciliation.
  • Maintain Mobile Van Master list for expiration dates.

 

Support Office Organization

  • Maintain office work environment including cleaning and organizing.
  • Other duties as assigned.

 

Support Customer Service and Business growth

  • Answer phone calls and emails in a professional manner.
  • Compare year over year service to look for any missed service opportunities
  • Work with the inside Sales/Service departments on loss of service at particular customers.
  • Scheduling service visits and update technician calendars.
  • Upselling services (preventative maintenance/ seals changed/ oil changes/ etc.)
  • Research customers in service areas for additional opportunities.
  • Email/call Customers to schedule calibrations coming due - track communication

 

Support Billing Process

  • Assist as needed (back up to Office Admin) in entering work orders into SAP as well as calling or emailing to obtain PO or credit card.
  • Obtain information from customers for New Customer Account Set-Up, Vendor Set-Up, etc.

 

Supervisory Responsibilities - none

 

Education/Experience Required

  • High School Diploma
  • Preferred 2-4 years of administrative experience, preferably in an industrial or commercial setting
  • Preferred familiarity with heavy industry terminology/applications or tools applications

 

Computer Skills Necessary

  • Microsoft Outlook, Word, Excel, TEAMS, SAP

 

Physical Demands/Requirements

  • Desk work, typing, answering phones.
  • Physical work in the warehouse from time-to-time.

 

Work Environment

  • Standard office environment of moderate noise level.
  • Ability to sit/stand for prolonged periods of time.

Salary : $42,500 - $53,800
