Your Role and Responsibilities
IBM Research is seeking to hire a creative, proactive event lead with a passion for science, technology, and experiential storytelling. This role will be part of the IBM Research Marketing and Communications team.

Your day-to-day will involve strategy development, content creation, and project management across several types of virtual and in-person events such as signature brand experiences hosted by IBM Research, our presence at large industry and technical conferences and IBM Think. This role will also be responsible for managing and deploying the IBM Research digital and portable event kits. This responsibility includes maintaining an internal self-service library of reusable event content, assets and resources that enable fellow IBM event owners to showcase our work. Your goal will be to ensure IBM Research event content and experiences add value and delight event attendees.

You are always up-to-date on the latest event best practices and trends. You are an excellent writer, communicator and organizer. You are excited to develop a keen understanding of our brand and the work happening both inside of IBM Research and across the competitive landscapes of hybrid cloud, AI, semiconductors, quantum computing, and science. You work well with a wide range of scientific, technical, business development, marketing and communications professionals.

This role involves occasional travel to IBM Research labs, client sites, and events.

We expect the event manager to:
  • Ensure our event experiences are consistent with the rigorous quality standards of IBM Research
  • Lead the management of all requests, fulfillment, shipping logistics and onsite set up needs of all portable event boxes for smaller IBM events
  • Create and manage all external event website requests on the IBM Research website
  • Independently engage key stakeholders as well as internal and external partners throughout event planning and execution process to identify event objectives, content strategy, goals, attendee list, communications, speaker management and other tasks as needed
  • Define and execute pre, during and post event communications activities
  • Advise and oversee execution support needs, i.e. finance approvals and PO management, Airtable/EMB entries, nomination/CTEBA process, reg emails, housing, catering, registration, 1x1 meetings, agency management, surround activities, signage, food and beverage, security, risk management and staff scheduling
  • Identify the need for agency partners and manage agency relationships to execute events and activations on-time and within defined budget parameters using IBM’s business, finance and legal guidelines.
  • Schedule and run event planning meetings– set meeting agendas, share relevant resources, capture meeting notes, incorporate feedback

  • Convene and actively participate in brainstorming sessions as we originate and develop ideas

Required Technical and Professional Expertise
  • 5 years of event production and execution experience in scientific, academic or business technology
  • Event management of all large event session and speaker logistics including program details, speaker assignments, and profiles, session scheduling, proofreading, PowerPoint presentations, session tagging, and other details as required
  • Manage speaker communications including Call for Presentations, travel and expenses guidance and invitations, submission status, and speaker preparation Identify and manage best onsite delivery, and session types for all content including room sets, space planning, and A/V request
  • Ability to identify budget needs and manage event expenses
  • A proven ability to work with highly technical information and deliver with a high level of accuracy and attention to detail
  • Ability to work independently and as part of a high performing, very collaborative team
  • Strong project management skills with a commitment to be highly organized and determination to meet deadlines
  • Able to work and thrive in a fast-paced environment and execute effectively against multiple projects and deadlines and demonstrate an ability to take initiative, anticipate needs and exercise independent and sound judgment


Preferred Technical and Professional Expertise
  • BA/BS or higher degree in marketing, business, journalism or relevant scientific or communications discipline
  • Experience working in an academia, journalism or research organization
  • Experience with event and/or marketing platforms including Rainfocus, CVENT, Bizzabo, Airtable, Marketo, etc. preferred
  • Background or general understanding of computer science, physical sciences, or technological research

Salary : $72,000 - $135,000
