Description
The Human Resources Assistant position will support IBSS' internal Human Resources Department. This role will be responsible for day-to-day HR operations of various functions of HR. This role will be responsible for onboarding, new hire orientation, managing employee personnel files within an HRIS system, I9 verification processing for work authorization, benefits administration, offboarding, employee relations, labor relations matters, performance management, company policies, supporting HR compliance reporting/tracking, HR projects, various HR analytics, etc. This role requires strength in communicative skills such as oral, written, and interpersonal with employees at all levels. Adherence to schedule, prioritization, organization skills, attention to detail, and work quality are paramount to this position. Find below the essential responsibilities of this role; some tasks, duties, assignments, and requests may be impromptu or situational. Impromptu assignments will be delegated to the employee on an as-needed basis. This position will report directly to the Human Resources Manager.
Key Responsibilities:
- Assist the Human Resources Manager with day-to-day operations of the HR functions and duties as assigned.
- Support in creating and maintaining an inclusive and supportive company culture.
- Provide HR-relevant support to the Human Resources Manager.
- Assist in coordinating HR policies, processes, and relevant documentation as assigned by the Human Resources Manager.
- Create new hire packets via the HRIS system per the "On-boarding Checklist Process” for all new employees.
- Accountable for conducting the "Off-boarding Checklist Process” for employees upon departure from IBSS including exit interviews.
- Conduct New Hire Orientations for all new employees joining IBSS.
- Assist with researching HR topics, trends, and industry-related analytics as assigned by the Human Resources Manager.
- Assist in coordinating quarterly lunches, annual events, work anniversaries, and birthday celebrations as directed.
- Data entry of new employee start dates and last date of employment for staff into the Human Resources calendar.
- Support in transferring security clearances and initiating security clearance paperwork as directed by the Human resources Manager.
- Support with employee benefits administration.
- Assist in creating employee surveys and helping gather necessary feedback.
- Responsible for I9 verification processing for all employees and new hires.
- Maintain employee confidence and build trust-based relationships with employees.
- Protect operations by keeping Human Resources information confidential and private.
- Enter employment data in HR systems.
- Composing and preparing correspondence as needed.
- Track and update employee general and relevant information in all HR systems.
- Assists in processing, maintaining, and managing confidential personnel files.
- Assist and support the Human Resources Manager with HR projects as assigned.
- Answer HR ticket requests within the IBSS Ticketing System per the internal HR Tier Structure.
- Monitor OFCCP Compliance-related activities and essential tasks.
- Responsible for monitoring the company's Glassdoor Rating and helping support the Human Resources Manager with tasks assigned to this effort.
- Maintain compliant records of activities per EEO & OFCCP standards.
- Compile HR data and metrics from the human resource information system (HRIS) and other system outputs.
- Assist and support HR processes with data and statistics for trends and patterns.
- Gather and support the Human Resources Manager with the disbursement of government labor statistics, new employment regulations, and labor laws as directed.
- Research and analyze competitor's practices and make recommendations as assigned.
- Educate employees about company policies and HR practices.
- Prepare reports of data results and present findings as directed.
- Other duties, responsibilities, tasks, projects, and assignments as may be assigned by the Human Resources Manager.
- Bachelor's degree in Human Resources, Business Administration, or related field required.
- 1 years of human resources experience.
- Strong interpersonal, verbal, and written communication skills.
- Effective organizational skills, attention to detail, time management, and prioritization skills.
- Strong analytical and problem-solving skills.
- Ability to act with integrity, professionalism, and confidentiality.
- Proficient with Microsoft Office Suite or related software.
- Proficiency with or the ability to quickly learn the organization's HRIS and talent management systems.
- Proficiency with Microsoft Office Suite (Word, PowerPoint, Excel, Access, Publisher)
- Familiarity working with Google Suite (docs, sheets, slides, studio, etc.)
