Job Summary:
We are seeking a highly organized and detail-oriented Executive Assistant to provide administrative support to our executive team. The ideal candidate will have excellent communication skills, strong multitasking abilities, and the ability to work in a fast-paced environment. Must speak English and Spanish.
Duties:
- Manage executive calendars, schedule appointments, and coordinate meetings
- Prepare and edit correspondence, reports, and presentations
- Conduct research and gather information for various projects
- Handle incoming and outgoing communications, including phone calls and emails
- Assist with travel arrangements and itineraries
- Maintain confidential files and records
- Perform data entry and maintain databases
- Assist with financial tasks such as expense tracking and invoice processing
- Provide general administrative support as needed
Skills:
- Strong customer service skills to interact with clients, vendors, and employees
- Proficiency in clerical tasks such as filing, organizing documents, and maintaining records
- Experience with QuickBooks or other accounting software is a plus
- Ability to manage multiple tasks simultaneously while maintaining attention to detail
- Previous experience as a personal assistant or executive assistant is preferred
- Familiarity with front desk operations and phone systems
- Excellent proofreading skills for reviewing documents and correspondence
- Ability to transcribe meeting notes accurately and efficiently
- Proficient in data entry with a high level of accuracy

- 4 hour shift
- 8 hour shift
- Weekends as needed
- Weekends only
