Position Overview
The Illinois Department of Corrections is seeking a detailed and energetic Visitor Coordinator. The ideal candidate will serve as the Visitor Coordinator to the Clinical Services unit that is providing services for a growing population of individuals in custody. Job Responsibilities
1. Coordinates and completes tasks that allow individuals in custody to communicate with civilians.
2. Receives inquiries/questions/complaints from individuals in custody and civilians related to video visitation, individuals in custody telephone system, MP3 players/software and electronic messaging.
3. Receives and reviews potential visitor information forms (PVI) from civilians, communicates with civilians to complete forms, routes PVI forms for approval.
4. Prints daily video/in-person visitation schedules and delivers schedules to appropriate staff.
5. Serves as back up to clerical staff in Clinical Services.
6. Serves as back up receptionist for Clinical services.
7. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
1. Requires knowledge, skill, and mental development equivalent to completion of high school and two (2) years of office experience.
2. Requires the ability to keyboard 45 words per minute.
Preferred Qualifications (In Order of Signficance)
1. Prefers at least one (1) year of experience in creating, working with, and maintaining Microsoft Excel spreadsheets or similar like computer database program.
2. Prefers at least one (1) year of experience in composing correspondence independently on behalf of another person.
3. Prefers at least one (1) year of experience in operating common office equipment such as multi-line phone systems, copiers, fax machines, and scannersPrefers at least one (1) year of experience in operating common office equipment such as multi-line phone systems, copiers, fax machines, and scanners.
4. Prefers at least one (1) year of experience in troubleshooting common office equipment such as copiers, fax machines, and scanners.
5. Prefers at least one (1) year of experience in using Microsoft Word and Outlook or similar programs for word processing and email.
6. Prefers at least one (1) year of experience in talking to the public about rules/guidelines followed by employer in order to get to an appropriate end result.
7. Prefers at least one (1) year of experience in reading, interpreting, and applying rules and/or guidelines of an organization.
8. Prefers at least one (1) year of experience maintaining a schedule including appointments and meetings for visitors.
Conditions of Employment
1. Requires ability to pass the IDOC/IDJJ background check.
2. Requires ability to pass a drug screen. On January 1, 2020, the Cannabis Regulation and Tax Act made it legal for residents over the age of 21 to produce, consume and sell cannabis in Illinois. Please note that although the law has changed, the Department will continue to enforce the Department’s zero tolerance Drug Testing policy.
