Job Summary
The Project and Contractor Coordinator will work to ensure that all projects and contractor work meets the Imerys Safety and MSHA requirements. Communicate project expectations and critically review project work product and progress. Provide oversight and management of site contractors for utilization during normal operations and outages as determined by management priorities. Provide planning and management execution of site capital projects under the direction of the Engineering and Maintenance Manager. Coordinate all aspects of maintenance and project contractors from determining need, staffing requirements, and necessary paperwork.
Key Tasks and Responsibilities
- Ensure that all contractors and project execution comply with all applicable Federal, State, Environmental and Safety Policies.
- Manage and monitor site contractors on a daily basis along with shift resources as needed working with the Maintenance and Reliability Manager.
- Provide oversight of weekly contractor costs and work with Engineering & Maintenance Manager to control costs to acceptable levels.
- Active participant in capital project development working with Engineering, Maintenance, Operations, Process and Purchasing groups to refine project scope for the preparation of project bid packages.
- Manage all site contractors during capital project execution
- Work with Maintenance Planner and other resources to provide a project schedule for major projects.
- Effectively manage project scope by ensuring any changes to scope and that they are documented and approved.
- Determine contractor staffing requirements for major projects and normal daily activities. If necessary, change the staffing level with appropriate approval to meet the site needs and requirements.
- Verify equipment assets are configured in the CMMS properly and per standards and that quality assurance is integrated into craft procedures.
- Work with the Maintenance & Reliability Manager and Maintenance Planner to determine resource minimization at the site through planning & scheduling or normal activities.
- Use Root Cause Failure Analysis (RCFA) to identify failure cause and develop solutions.
- Facilitate Project Planning and Review meetings and provides leadership to effectively manage projects and outages.
- Work as a team with others to develop and project and contractor metrics so it can be periodically updated by the Maintenance Clerk and distributed to site management. Work to develop tools to do a post-project evaluation and determine if objectives were achieved and how future projects will be utilize the lessons learned.

- Demonstrated logical problem solving and analytical skills to be able to crash projects to critical path and recover projects that have been less than optimum due a variety of reasons such as found and unplanned work, weather and contractor performance.
- Advanced computer skills in spreadsheets, word processing, database software and CMMS.
- Ability to work in high priority situations in both a team environment and as a self-directed individual.
- Ability is required to schedule a number of activities, meetings, and/or events; often gather, collate, and/or classify data; and consider a number of factors when using contractors and project management.
- Ability is also required to work with a diversity of individuals and/or groups; work with data of varied types and/or purposes.
- Familiarity with project management tools and software.
- Demonstrated leadership and mentoring skills and be self-motivated.
- Strong commitment to the overall project needs of the facilities within the given budget and constraints.
- Good interpersonal and communication skills, both written and oral
- Excellent organizational, and prioritization skills.
- Ability to stand firm on commitments and requirements of site management team along with the ability to elicit cooperation from site leadership and other departments..
Education/Experience Requirements
- Post-secondary education and/or a technical trade degree is desired, but experience will be considered in lieu of education.
- Training in PMI Project Management techniques. Project Manager Institute certification would be desired.
- Minimum of five years of field experience in maintenance, project planning, contractor management and general and reliability with an industrialized company.
- Competent with Microsoft Office programs and experience using project management software such as Microsoft Project.
Environment
- While performing the duties of this job; the employee is regularly exposed to work near moving mechanical parts, dusty conditions, high noise, outside weather in all conditions and materials used in the process.
- Frequent walking, standing, and sitting with exposure to all seasonal climatic conditions.
- Occasionally lifting, carrying, and/or pulling objects up to 50 lbs.
- Approximately 40% office environment and 60% plant environment.
