Position Overview

The Operations Lead strategically aligns the site operations teams with the client’s core values. The successful individual will possess extensive knowledge of technical Facilities Management to run the client’s headquarters site. The position implements the account plan focused on Site Services and Technicians. A wealth of expertise in site strategy will ensure a healthy long-term relationship as the client continues to grow.

The successful candidate will be strategic as well as tactical. The candidate will understand budgets and budgeting and will be comfortable in Excel. The candidate must also be results driven, able to execute an account plan to ensure exceptional delivery and will have the highest ethical standards. This candidate must possess strong communication skills and the ability to influence others to deliver results. Prior expertise in managing high performing teams is crucial. This individual should understand client strategies and goals to drive greater opportunities in satisfaction and business needs.

Primary Responsibilities

MANAGEMENT

  • Manage day to day operations at the Client Headquarters site in Santa Clara, CA.
  • Ensure smooth operations of all site services within the offices.
  • Align new expansion projects with the client workplace standards and regulatory compliance.
  • Oversee various workplace vendors as necessary to deliver expected outcomes.
  • Manage local functional teams to include Workplace Coordinators and Technicians

REPORTING

  • Assist with operating budget reviews.
  • Approve invoices timely.
  • Collaborate with the accounting team on monthly and quarterly reconciliations.
  • Maintain budgets for property management, vendors, and all preventative maintenance repairs.
  • Conduct periodic audits to reinforce compliance with safety and security protocols.
  • Partner closely with onsite executive stakeholders and administrative team to support various events and requests.
  • Coordinate onsite events as needed ensuring furniture set up/take down, HVAC, extra janitorial and ensure office is reset.

PROCESS

  • Partner with our Workplace Manager to execute the client’s growth strategy.
  • Utilize internal ticketing systems preventative maintenance, asset management and employee services.
  • Exceed Service Level Agreement performance metrics in all service requests.
  • Lead the Emergency Response Program.
  • Drive the Ergonomics Program.
  • Maintain safety and security standards and procedures.
  • Collaborate with stakeholders to ensure compliance with brand standards.

Job Requirements

Knowledge, Skills and Abilities

Industry Experience

  • Eight years or more experience in workplace operations or facilities management.
  • A proven record of successful delivery superior stakeholder experience in a high-tech environment.
  • Five years or more experience managing workplace teams, processes, and programs.
  • Robust experience in vendor management, small project management, and furniture project management.
