JOB TITLE: Volunteer Coordinator
DEPARTMENT: Development
REPORTS TO: Development Manager
JOB SUMMARY
The Volunteer Coordinator is responsible for providing continuous support to the organization by developing and implementing a systematic process for the management of volunteers which will include recruitment, training, retention, and recognition of In The Image’s volunteers. This includes selecting, recognizing, and supporting the talent needed to properly carry out the mission of the organization through diverse individuals and group volunteers. The Volunteer Coordinator is also responsible for supporting the organization through the Donation Drive Program by recruiting and managing drive host volunteers through the process of engaging community members and creating well-rounded relationships to secure In-Kind support. This position will also support the Executive Director and Development Manager as part of the Development Team in planning and executing annual fundraising events.
PRIMARY JOB DUTIES:
Recruit a diverse and growing pool of volunteers
- Develops long-term strategic plan involving volunteer recruitment and retention efforts – increasing the current volunteer base
- Represents the organization at outreach and community events
- Responds to volunteer inquiries in a timely manner
- Establishes and maintains positive relationships with organizations that can provide volunteers
- Works with the Development Team to ensure marketing and outreach efforts for volunteers are included and updated for both print and digital strategies
Preform volunteer screening and onboarding
- Creates and maintains Volunteer Database to include volunteer hours, preferences, and long-term retention plans
- Coordinates application and interview process with potential volunteers, including background check and training regarding organizational history and goals.
- Conducts annual background checks for volunteers
- Updates training/outreach materials to effectively conduct orientations, tours, and overall larger training sessions – including Handbooks, job descriptions, documentations, etc. for each segment
Provide a variety of volunteer opportunities
- Designs and implements a Group Volunteer Program
- Secures event volunteers – communicating event details and manage volunteer check-in, check-out, and training for events
- Matches volunteers with their interests and talents with the needs of In The Image’s programs
- Works with staff and committees to initiate new volunteer opportunities
Manage volunteer communication and retention
- Responsible for all communication with current program volunteers through weekly and/or monthly volunteer emails and newsletters
- Engages, thanks, and supports volunteers regularly
- Organizes volunteer appreciation events, efforts, and awards
Evaluate In The Image’s volunteer program
- Continuously update, improve, and make recommendations regarding the recruitment, management, and retention efforts for the volunteer program based on research-based best practices
- Conducts annual volunteer feedback surveys
- Updates the organization’s Impact Report with peoplepower numbers
Create a Donation Drive Program
- Develops a long-term strategic plan on in-kind donation needs to support the community and mission - increasing in-kind donation drives
- Works with the Development Team to ensure marketing efforts for donation drives are included and updated for both print and digital strategies
- In partnership with the entire Development Team, establishes and maintains positive relationships with organizations, that can host in-kind donation drives
Manage Donation Drive Communication
- Responsible for all communication with current Community Partners hosting in-kind donation drives through quarterly emails
- Engages, thanks, and supports Donation Drive Community Partners regularly
- Organizes Community Partner events and opportunities to engage further
Evaluate In The Image’s Donation Drive Program
- Continuously update, improve, and make recommendations regarding community partnerships, recruitment, management, and retention efforts for the Donation Drive program based on research-based best practices
- Conducts annual Donation Drive feedback surveys
- Updates the organization’s Impact Report with donation drive numbers
Qualifications, Knowledge, Skill, and Abilities
Job Type: Full-time (40 hours/week) some nights and weekends
Education: Associate’s degree or two years of equivalent experience
Experience: Office and/or non-profit experience preferred, specifically related to volunteer recruitment, management, & retention, marketing and communication, community outreach, and/or fundraising
License/Certifications: N/A
Software: Microsoft Office Suite
Knowledge, Skills, and Abilities:
- Must have 1 year of successful volunteer management and community outreach experience
- Proficient in Microsoft Office and G-Suite software
- Excellent verbal and written communication skills
- Demonstrated organizational and time management skills
- Ability to work well both independently and in a team environment
Work Environment: Must be able to frequently lift/push/pull objects that are 50 pounds or heavier. Must be able to sit or stand for extended periods of time.
Job Type: Full-time
Pay: $35,000.00 - $40,000.00 per year
