Position Summary: Under general direction from the Chief Executive Officer, the Manager of Operational Programs will perform audits of our shelter operations in order to evaluate program efficiency, effectiveness and alignment with IndyHumane goals and strategic objectives. This position will manage multiple active projects to promote/support operational best practices and consistency across campuses. This works closely with IH leadership, other staff, partners, and vendors to provide program recommendations and guide operations staff through implementation and fulfill timely project deliverables, while assessing progress, and holding team members accountable in meeting benchmarks. Responsibilities include project planning, timeline development, quality assurance and oversight, consultant/ vendor management, stakeholder reporting, budget and schedule control, and project documentation. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, other duties may be assigned: • Identifies organizational areas of opportunity and develops new initiatives and plans of action to support the strategic direction of the organization, including improving animal welfare, organizational effectiveness, and guest, volunteer, and staff satisfaction. • Manages the Community Outreach positions including hiring, scheduling, training, and development, evaluating performance, providing guidance, feedback and corrective action as needed. • Researches and evaluates national best practices in animal welfare and makes recommendations for new business solutions and improvements to current programs and processes to Senior Leadership. • Manages day-to-day operations projects. Assigns and delegates tasks to maximize project performance. • Possesses a clear understanding of organizational functional interdependencies and utilizes that knowledge to facilitate complex and effective program development. • Leads the Operations Department and leadership in project planning by creating and managing timelines, budgets, agendas, and action items. • Communicates project status regularly to the CEO and appropriate team members to ensure the delivery of project milestones. • Manages and prepares project documentation including detailed reports, meeting minutes, issues logs, and budgets to ensure accurate, complete, and quality information. • Analyzes data from multiple systems to propose new projects, evaluate project effectiveness and ensure decision making is supported by data. • Manages an SOP software platform with consistent format and ensures accessible storage location. • Audits integrated technology platforms as needed to identify and resolve technical issues. • Schedules/attends/conducts and contributes to regular project meetings. • Represents the organization in interdepartmental projects including strategic initiatives, construction projects, event planning, and process improvement. • Identifies project collaborators and organizes ad hoc work groups as needed to move projects forward. • Resolves project management issues by detecting root causes to improve project effectiveness. • Performs research, prepares reports and presentations using advanced PowerPoint and graphics skills for diverse audiences, adapting content appropriately for intended audiences. • Works with the Director of Medical Services, Director of Operations and Manager of Enrichment and Flow to support capacity management for in care domestic species across all campuses by identifying and addressing bottlenecks in the flow of animals throughout the shelter. • Develops methods and determines key performance indicators to measure organizational health regarding population management. • Updates, develops, implements, communicates, and provides training for new operational protocols. Drives, empowers, and influences the adoption and usage of these new protocols. • Spearheads new initiatives to promote IH as a leader in animal welfare, while offering solutions to ensure organizational financial health. • Research and advocate for proper resource allocation to ensure a balance of staffing capacity, housing capacity, standards of care and positive guest experience. • Demonstrates IH core values in daily interactions with colleagues and works to bring unity and cohesiveness to teams, ad hoc work groups or task forces, and other collaborations. • Interprets legal guidance regarding IH programs, protocols, contracts, and processes. • Travels or virtually represents IH at conferences, external meetings, and shelter visits. Represent the organization with a professional demeanor, continually demonstrating poise, tact, and diplomacy. • Maintains high-level and consistent work ethic in all work-related duties. • Builds and manages relationships with a cross-section of stakeholders, including senior management, volunteers, donors, animal welfare partners, etc. • Fosters a collaborative work environment within the broader organization. • Coordinates and works effectively with staff across the organization in an integrated way to provide excellent customer service to internal and external clients. • Promotes culture of continuous improvement through research of technologies and best practices resulting in evolving methodologies. • Handles confidential personnel, financial, and management information. Ensures complete confidentiality of all sensitive IH information. • Leads and participates in bi-weekly and monthly leadership meetings. • Possesses knowledge of IndyHumane operations, vision, and strategic goals, as well as that of partners and benchmarks in the animal welfare field; contributes this knowledge and information to influence organizational policy and direction. SUPERVISORY RESPONSIBILITIES: Responsible for directly supervising the Community Outreach Coordinators and project activity. May supervise volunteers or administrative staff. Job Qualifications, Knowledge, Skills, and Abilities: • Bachelor’s degree in Management, Business or related field with seven (7) years relevant work experience (or an equivalent combination of education and experience). Experience in animal sheltering is highly desirable. CAWA certification preferred. • Able to demonstrate competence in independently applying judgment, solving a wide range of problems, developing practical and thorough solutions, and using effective communication and listening skills. Prior project management experience highly preferred. • Familiarity with fiscal responsibility as it relates to project management activities required. • Is able to work independently with little supervision. • Must have a basic foundation of knowledge of the principles of organization, administration, and management; and the ability to analyze and find solutions to problems. • Excellent verbal and written communication skills required. • Must have excellent organizational skills, attention to detail, and sensitivity to confidential information. • Must be able to multi-task and be able to adjust to a frequently changing environment. • Must exhibit independent thinking, sound judgment and ability to interpret various types of information for proper decision-making. • High level of computer literacy required. Advanced MS Office skills required, including competent knowledge of Excel and PowerPoint. • Strong interpersonal skills required. • Valid Indiana Driver’s License and good driving record required. PHYSICAL DEMANDS: Will sit, stand, walk, talk, hear, stoop, bend, stretch, squat, kneel, grasp, grip, put fingers together firmly and reach above and below shoulder level, lift and/or carry up to 25 pounds and push and pull up to 50 pounds for setting up events and manipulating or moving supplies and/or animals; repetitively use hands to operate computers; flex the neck upward and downward; twist at the neck and the waist. WORK ENVIRONMENT: Standard office environment, with exposure to environmental conditions that include working with or near animals. Exposure to allergens and potential exposure to parasites and infectious diseases that can be carried and transmitted by animals. Position travels to all IH locations using own vehicle as needed and works primarily from Michigan Road. Must be able to occasionally work evenings, weekends, and events.
