What are the responsibilities and job description for the Billing Clerk position at INFRAMARK, LLC?
The Billing Clerk is responsible for all aspects of customer billing and collections.
Primary Responsibilities
- Enter sales orders for new contracts.
- Manage and complete all customer billing, including

- Progress billing on large contracts
- Small contract billing
- Time & materials billing for general maintenance work
- Collate and organize work orders to prepare for billing.
- Communicate with engineering & technical teams about work ready to be billed.
- Expense inventory to billed projects.
- Follow and implement state sales & use tax rules for all billings.
- Maintain record of sales tax exemptions.
- Provide all invoices to the sales tax team in a monthly report.
- Send monthly statements / collections notices for unpaid and delinquent accounts.
- Respond to customers’ billing questions; resolve issues.
- File customer and vendor invoices.
- Assist supervisor and admin team with other tasks and special projects, as needed.
Qualifications
Education/Experience: Bachelor’s degree 1-2 years related experience; or, Associate’s degree 3 years related experience
Technical:
- Prior experience with QuickBooks Enterprise is a must; experience with Oracle NetSuite a plus, but not required.
- Working knowledge of foundational accounting principles including debits and credits; revenue and expenses; job costing.
- Intermediate proficiency in Microsoft Word, Excel, and Outlook.
Communication:
- Communicate clearly and professionally, both orally and in writing.
- Share suggestions to improve quality and productivity; ask for constructive feedback.
Leadership & Initiative:
- Identify problems and find solutions.
- Work independently with minimal supervision, while managing multiple tasks.
- Seek out opportunities for development.
Other: Valid driver’s license; Ability to pass a background check
Physical Demands
The work environment is characteristic of an office setting: sitting, standing, walking, bending, and lifting are required to perform job responsibilities. The employee must occasionally lift and move up to 20 lbs.
Availability
Must be available to work in person at our Raleigh, NC office; typical workday is eight hours between 7 a.m. – 5 p.m.
