We are seeking an experienced Administrative Assistant, with exceptional soft skills who is passionate about hosting, caretaking and organizing to join our high performing team.
JOB DETAILS
- 24-30 hours per week, spread over a four- to five-day work week
- Position would be required to be in-office majority of the time in our Minneapolis office
- Competitive hourly pay: $25.00 - $30.00 p/hour
KEY POSITION RESPONSIBILITIES
We’re seeking an Administrative Assistant who wants to be a part of a growing company. The position will be filled by someone who enjoys hosting and takes pride in helping to keep an organization running smoothly. It’s important for the Administrative Assistant to be comfortable being an “orange” in an office full of “apples,” enabling colleagues to maximize their time delivering exceptional client service. If you are self-motivated with the ability to take on assigned tasks and also proactively seek out new projects independently, you’ll fit in well in Inprela’s entrepreneurial environment. This person must act with discretion and build trust by taking full responsibility for words, actions and work. They must develop good relationships with agency team and business partners, delivering a high level of collaboration and service, while managing a variety of projects and deadlines. The position offers a level of flexibility to set your own schedule, and a rewarding work experience in a supportive and collaborative setting. As an Administrative Assistant your responsibilities include:
Administrative
- Provide a favorable first impression welcoming guests and team.
- Maintain cleanliness of main entrance, kitchen and conference rooms.
- Provide administrative assistance to our leadership team when needed.
- Assist executives with calendar scheduling and various tasks as they arise.

- Provide general office management to keep the company running smoothly, assist agency teams with short-term administrative projects such as preparing conference rooms for meetings, booking travel arrangements, copying and scanning; run errands, manage all incoming and outgoing mail, restock supplies including breakroom snacks and beverages, place orders, shipping and couriers, maintain contact databases, maintain agency calendar, organize, document and execute office operations and procedures, researching vendors and tools, manage communication around parking and policy enforcement, etc.
- Update and organize company electronic files, directories and subscriptions.
- Assist with Covid management and compliance processes.
Events
- Coordinate and plan Inprela’s cultural activities such as company events and team celebrations and manage a budget for yearly activities.
- Coordinate and plan meetings/parties hosted on occasion at Inprela, acting as the primary point of contact between external parties and internal staff.
- This includes coordinating food/catering and managing all supplies needed for each party.
Human resources
- Assist in facilitating the onboarding process for new employees and annual benefits renewals. This includes making sure all proper paperwork is signed and archived in appropriate files.
- Assist in refining the employee onboarding process to keep pace with the firm’s needs.
For example, maintaining/updating checklists to ensure all aspects of onboarding run smoothly.
Bookkeeping
- Assist Inprela’s Accounting Firm with basic requests
- Manage expense reimbursement system and Inprela team compliance
- Data entry & general reporting
Office and technology systems
- Assist with managing and maintaining office systems, including phones, IT systems, security system, copier, printers, etc. Serve as a point of contact for day to day IT issues.
- Assist with managing operating leases and equipment; works with property management company to maintain office space and building (e.g., maintenance); maintains a clean and organized office space.
QUALIFICATIONS
- Exceptional soft-skills
- Proven office management, administrative or assisant experience.
- Proficient in Microsoft Outlook, Word, Excel and PowerPoint.
- Keen ability to work independently and problem solve.
