We are currently looking for a Project Coordinator to join our team in the Wall Division.
About the Opportunity
The Project Coordinator, for Inscape’s Wall division, executes and supports the end-to-end implementation of a turnkey solution for secured orders. This key role manages assigned projects and coordinates the order from production through to manufacturing and delivery. The Project Coordinator delivers outstanding and timely communication, ensures commitment and collaboration between key internal and external stakeholders to delight and meet Inscape’s customers’ expectations.
Responsibilities & what you’ll be doing:
- Define project scope, goals and deliverables that support business objectives and minimize company exposure and risk in collaboration with management and customers.
- Lead and manage projects from beginning to end, including coordinating installation schedules with partners. Track project milestones and deliverables;
- Identify and resolve issues and conflicts within the project team, in a timely fashion, escalating issues as required;
- Conduct project post-mortems and create recommendations in order to identify successful and unsuccessful project elements;
- Negotiate contract terms, facilitate contract reviews and client meetings effectively;
- Identify and manage contract improvement opportunities to increase project profitability;
- Effectively communicate relevant project information and keep related parties informed of all changes and deliverables;
- Compile and issue Field Quality Reports and ad hoc reports as required;
- Maintain detailed files and documentation, including legal documents associated with the project, preparing release to engineering (RTE) packages, credit notes, issuing purchase orders, invoicing and managing payments to installation partners, etc.
- Participate in special projects and other duties as required.
Knowledge, Skills & Qualifications:
- Diploma or degree in Business or relevant field;
- 2-3 years’ experience in a similar role within the manufacturing and/or construction industry and working with Contractors and Design-Build firms;
- In-depth knowledge of moveable wall, partition and furniture systems;
- Able to read, understand and interpret architectural drawings and specifications;
- Good understanding of project management principles including planning, scheduling, contracts, budgets, job costing, coordination, installation and logistics;
- Proven project management skills. Ability to lead projects and act as continual liaison between client, contractors, subcontractors and factory;
- Advanced proficiency with MS Office Suite, especially Excel. Previous ERP system experience;
- Excellent verbal and written communication skills, with the ability to effectively present and clarify concerns and concepts to various audiences;
- Excellent negotiation and customer service skills;
- Strong problem-solving skills including the ability to be resourceful in defining solutions;
- Excellent organizational skills, with the ability to manage multiple deliverables in a time-sensitive environment and adapt to frequently changing priorities;
- Demonstrated team player with excellent interpersonal skills. Proven ability to work cross functionally across a business;
- Self-motivated, quick learner with a strong work ethic and dedication to timely and accurate reporting and project delivery;
- Highly attentive to detail and committed to quality;
- Service focused with a strong sense of urgency.
