Our growing company embraces innovation and is seeking an experienced Office Manager to advance our management team in efficiency and expertise.
The Office Manager is responsible for overseeing the day-to-day business operations of the organization including assisting with accounting/bookkeeping, human resources, customer relationship management, sales, and business management functions while providing administrative support to the team. The Office Manager will be proactive, an exceptional communicator, highly organized, detail-oriented, comfortable with new challenges, and works well independently and within a team. Additionally, the Office Manager will adhere to the strictest level of confidentiality.
Office Management
- Provides administrative support to the company.
- Handles incoming phone inquiries and provides customer support in a timely manner.
- Utilizes technology and various computer programs/systems used in accounting, financial management, human resources.
- Utilizes operating systems for order entry, order acknowledgement, deposit entry, picking tickets, and invoicing.
- Serves as company liaison in the absence of company leadership.
- Creates and maintains reports, accurate sales orders, files, and databases.
- Learns company product line and showroom sundries in order to assist walk-in and phone customers.
- Schedules orders and communicates details of orders with Drivers, Customers and/or Installers; and provides follow up to appropriate parties on open orders or quotes.
- Pulls sundries and accessories from showroom, stages, and labels according to deliveries and pick-ups; also includes shipping and receiving of UPS shipments and packages.
- Ensures accuracy of production schedule specifications and due dates according to Company standards.
- Communicates both internally and with customers regarding delivery schedule changes or revisions.
- Builds and maintains a strong professional relationship with the Installer Customer Base.
- Proactively researches, prioritizes, and responds to issues.
- Champions both administrative support and the customer experience.
Accounting/Bookkeeping
- Assists with month, quarter, and year end accounting and financial activities.
- Assists with Finance, Accounting, Budget, Insurance, Recordkeeping and Purchasing activities.
- Assists with updating and maintaining journal entries/ledgers and other finance related records.
- Sets up and maintains vendor/supplier records/files.
- Sets up and maintains customer database, records/files.
- Verifies receipts, invoices, and payments for accuracy and consistency.
- Performs data entry and invoicing.
- Prepares and processes bank deposits.
- Troubleshoots discrepancies and applies creativity in solving complex problems.
Human Resources
- Collaborates with HR Department.
- Assists with orientation and onboarding/offboarding of employees.
- Assists with documentation and facilitates HR administrative support functions as requested.
Education/Certification/Licensing/Experience/Knowledge/Skills/Abilities Requirements
- High School Diploma or equivalent; advanced education or training a plus.
- 2 years previous office management, accounting, and/or customer service support experience preferred
- Proficient with MS Office, accounting software, and customer management platforms
- Excellent communication, both written and verbal, skills
- Ability to maintain confidential information
- Ability to work independently in a fast-paced environment with tight deadlines

Salary : $55,000 - $65,000
