Seeking an experienced Events Manager to fill a key role within our fast-growing proptech company. The Events Manager will be a hands-on leader and will apply experience, structure and creativity to the company’s event strategy. The position will oversee in-person events hosted by the company for customers and prospects, and will also be responsible for outside events for which the company is a sponsor or exhibitor. Empathy with our inspection company audience is critical, and so the successful candidate will have some background in or around real estate, with a preference for direct experience with the inspection industry.

The events manager will have top-to-bottom responsibility for events, driving the vision, themes, budget, logistics, production, speaker management, sponsor coordination, platform selection and implementation, registration drives, results analysis, and feedback. They will work with a variety of team members to develop and execute on these event plans (including our community programs manager who will drive content concepts), driving forward every aspect of the process and raising the caliber of our events measurably.

Salary:

$70,000 to $80,000 per year based on experience

Responsibilities

  • Leading the development of the organization’s annual strategy for customer events, which includes a minimum of 5 customer events, multiple advisory board meetings, and at least 8 events in which the company is a sponsor or exhibitor, with the opportunity to expand into more local and regional event programs.

  • Working with finance and sales leadership to establish event budgets and projections.

  • Collaborating with multiple leaders on event vision, themes, and objectives to align events with corporate strategies, timely initiatives, and industry climate.

  • Collaborating with leadership to identify and secure speakers and content that align with event objectives.

  • Management of all aspects of speaker engagement from contracting to logistics to collaboration on content development and alignment to the theme and audience

  • Working with hotels, vendors, and other 3rd parties to negotiate and secure favorable contract terms and commitments to support all events.

  • Coordinating venue management, caterers, production contractors, and equipment procurement

  • Works with marketing team to select and implement optimal systems for supporting virtual event platforms and event apps with an eye toward fantastic user experience, internal efficiency, and return on investment.

  • Tracking progress of event planning across teams. Implement systems for ensuring a cohesive effort toward the ultimate event production. Holding team members accountable to deliverables on strict timelines.

  • Ensuring internal alignment engagement and clear communication around event programs. Coordinating staffing requirements and staff briefings.

  • Leading and co-planning attendee registration and communication strategies, targets, and schedules including but not limited to social media, email, text, influencer programs and attendee incentives.

  • Developing approaches and methods to evaluate and measure event success. Leveraging such insights in the development of ongoing strategies

  • Influencing and negotiating with internal partners as needed

  • Producing detailed proposals for events, e.g., timelines, venues, suppliers, legal obligations, staffing, and budgets

  • Ensuring insurance, legal, health, and safety obligations are adhered to

  • Planning all traffic flow and room layouts for general sessions, breakouts, exhibitor halls, and all other event components

  • Overseeing the setup and dismantling and removal of the event and clearing the venue efficiently

  • Performing post-event evaluation; including internal and external survey construction and analysis, and producing reports for event stakeholders.

Requirements – Skills, Abilities, and Knowledge

  • Bachelor’s degree preferred

  • 5 years of event management experience

  • Extensive knowledge of managing vendors and 3rd party providers

  • Expert project management skills

  • Technically inclined and adept at learning new software and systems

  • Strong creative instincts and problem solving abilities

  • Exemplary grace under pressure

  • Versatility with leading a diverse range of event types and styles, from small or medium-sized to large celebrations, internal and external hosted, with experience executing events of 200 people at external venues

  • Team player, collaborative, influential in galvanizing support from multiple teams to execute

  • Exceptional communication and presentation skills, both written and verbal

  • Strong attention-to-detail, self-directed initiative, resourcefulness and drive for innovation

  • Relentless pursuit of quality and polished, world-class experiences for event attendees

  • Exceptional time, resource management, and organizational skills

  • Operational project management skills and experience creating work plans, meeting agendas and other collaboration tools

  • Comfort with navigating agreements, and strong negotiation skills

  • Effective, independent decision-making ability

  • Readiness to work outside fixed business hours if necessary around events (e.g. mornings, evenings, and weekends)

  • Sense of humor and capacity to succeed in a fast-paced, dynamic organization.
