Personal Administrative Assistant to the CEO
We are looking for a highly organized personal and administrative assistant to work directly with our CEO and senior management team. You will primarily be responsible for executing on: business and personal/household tasks on his behalf, organizing his schedule, attending meetings and handling any business tasks at his request.
Previous experience as a personal assistant is required. This is not a remote position. Working from West Knoxville, TN is required. There will be days where you may be required to drive to the Sevierville office for meetings with the CEO.
Requirements:
Strong organization and prioritization skills
Ability to meet deadlines in a fast-paced, quickly changing environment
Ability to effectively multitask
Working knowledge of Mac computers, Google Drive (Docs and Sheets) and willingness to jump in and learn new technologies as required
Proficiency in appointment setting - including preparing for meetings and ensuring all parties are clear on meeting expectations
Excellent written and verbal communication skills
Strong independent problem-solving and execution skills
Ability to operate independently with minimal direction and supervision
Must be dependable, resourceful and be willing to learn new skills
Must maintain strict confidentiality
Must be flexible and be ready to go at a moment’s notice
Must be able to provide reliable transportation
Responsibilities will include, but are not limited to:
Prioritizing, scheduling and attending meetings and taking notes
Handling communication between the CEO, clients and team members (internal and external correspondence, including emails, phone calls, follow-up, etc.)
Arranging events, appointments and travels
Assisting with personal and household tasks as necessary, including, but not limited to:
Managing dry cleaning drop-offs and pick-ups
Managing UPS/FedEx deliveries
Booking personal appointments
Making any necessary travel arrangements
Following up on miscellaneous household and business needs
Miscellaneous household requirements
Assist in preparation of presentation/meeting materials, such as marketing reporting for a client’s upcoming meeting
Being diligent on email organization and responses for timely replies to clients and team members
