What are the responsibilities and job description for the HR Administrator - Munich (m/w/d) position at Iris?

The opportunity

 

We are looking for a forward-thinking HR Administrator to join our People team in Munich and play an important part in the delivery of our seamless employee processes. The ideal candidate will be passionate about starting a career within the HR field.

 

The HR Administrator will provide efficient HR support to the agency and will be fully responsible for general administration tasks. You will be involved throughout the stages of our employee lifecycle, with the support of our wider people function based out of the London office.

 

This is a part-time opportunity (20 hours per week) based from our Munich office so the need to speak German will be essential.


Your responsibilities will include but are not limited to: 

 

Onboarding & Offboarding


  • Provide new joiners with exceptional onboarding experience
  • Preparation of new starters paperwork, issuing contracts with the support of the Managing Director in Munich
  • Creating new employee profiles in BambooHR
  • Sending new starter pack via BambooHR
  • Informing IT to prepare equipment and sending diary invites to manager and team ahead of new joiner starting
  • Right to work checks and ensuring documentation is correctly filed
  • Regular check-ins with manager and employee after the initial 3 months and 6 months
  • Acknowledging resignation letters/written confirmation of details, outstanding holiday, last day, etc
  • Scheduling exit interviews with leaver and people team
  • Offboarding in BambooHR – update database and leaver doc
  • Requesting performance evaluations sheet from manager to draft reference letters
  • Arrange return of hardware with IT function and ensure good delivery of equipment


General HR Administration


  • Management of the HR inbox – answering employee queries and escalating to senior members when necessary
  • Keeping HR files up to date with the oversight of the Managing Director
  • Support to the wider People function with monthly and quarterly reports, by ensuring information is correctly documented and tracked
  • Collecting and preparing information needed by the payroll teams
  • Employee engagement and building agency culture

  • Good working knowledge of the MS office suite
  • Curious, proactive and a problem solver
  • A trusted member, with the ability to handle confidential information
  • Excellent written and verbal communication, time management and organisational skills
  • Enjoys working with others with the ability to develop strong relationships across the agency
  • Prior administration experience would be highly desirable
  • Previous experience within the HR field is not essential but would be a bonus
  • Fluent in spoken and written English and German
