Job Description What you can expect in a typical day The Account Reconciliation Specialist provides start to finish support in proper treatment and administration of all utilities and other site level expenses to operations and leasing teams. Ensures optimal recovery from all third party tenants, dealers and partners for all site level expenses. The role will also operate within a hybrid work model, which will offer you the ability work from home a portion of your week and then make use of in-person office days to collaborate and build strong professional relationships; all within a beautiful modern office environment. What we offer: Competitive salary, bonus and pension plan Flexible benefits, including a Health Spending Account Hybrid Work Opportunity – flexible work model that supports a blend of in office and remote Wellness support, including annual wellness allowance and paid personal care days Paid vacation and vacation purchasing Personal and professional development opportunities Named one of Canada’s Top 100 Employers for seven consecutive years Your Roles and Responsibilities: Oversee processing and reporting for all 3rd party facilities costs for Common Area Maintenance (CAM) regular monthly and annual expenses Approve 3rd Party “prepaid” utilities expenses as processed by AP team to ensure proper coding and provide direction on changes needed once approved by Operations or Real Estate Reference and Interpret various legal contracts including but not limited to property specific maintenance agreements, leases and dealer supply agreements to ensure all recoverable expenses are billed to tenants as outlined in the contracts Liaison for all CAM Reconciliation inquiries from tenants; Act as lead and subject matter expert for all CAM related inquiries and prepare annual estimated CAM statements Pull reports from TM1 (CAM module) and continue to identify improvements with TM1 team to refine CAM reports and procedures Analyze site level expenses and identify variances using Oracle reports Review tenant, dealer and Joint Venture (JV) partner accounts using JD Edwards (system) Complete monthly billbacks to ensure all recoverable expenses are achieved from tenants, dealers and JV partner in a timely manner Develop and produce reporting demonstrating annual recoverable across all relevant business units Provide quality customer service in issuing annual expense reconciliation statements to tenants and third party partners Recommend continuous improvement of reconciliation processes working closely with many internal stakeholders; Build and communicate new processes Perform periodic transaction audits and make recommendations to ensure optimal reconciliation is achieved Professional skills: Strong verbal and written communication skills. Ability to develop clear, effective reporting to communicate updates to stakeholders. Ability to work independently with limited supervision / direction. Self-motivated. Very strong analytical and problem solving skills. Keen attention to detail. Proven ability to work collaboratively with cross-functional teams. Travel: Travel is not required for this role. Education and experience: Post-secondary education in business or related field, accounting focus/major would be an asset 3-5 years of experience in operations or real estate industry would be an asset.
