Scope of Position
The Planning and Logistics Administrator supports coordination of the Museum’s many projects and activities. From exhibitions and programs to conservation and maintenance, this position engages across departments to track planning timelines and execution details to minimize feasibility concerns and calendar conflicts. The Planning and Logistics Administrator reports to the Senior Manager, Exhibition Planning and works closely with the Chief Financial and Administrative Officer (CFAO) helping execute work in three core areas: Annual operational planning, daily operations / project management, and exhibition Planning.

This is a full-time, non-exempt position. The salary range is $45K - $55K annually.

Responsibilities*

  • In coordination with the CFAO and Senior Manager, Exhibition Planning, support the Museum’s operational and exhibition planning process, working with departments around resource planning. Create a master calendar for the fiscal year to be approved by Management. Assist with budget discussions and planning throughout the year.
  • Serve as centralized project coordinator for cross-functional meetings, initiatives, planning and evaluation work maintaining project plans, calendars and communications and working with departmental managers to plan for contingencies. Participate in meetings as warranted.
  • Manage and communicate logistics of day-to-day Museum operations (such as elevator closures, photography project locations, etc.); follow up on capital project timelines.
  • Supports the Operations Planning Committee through coordination of regular meetings and helping to address implementation issues for museum-wide events and programs.
  • Coordinate training and use of the museum’s space scheduling and event tracking system and related tools/documentation for event planning (e.g. work orders).
  • Provide administrative support to the CFAO and Operations senior management

Requirements

  • 3-5 years of related work experience and aligned interests
  • Strong proficiency with Microsoft/Google tools; experience with project management tools is a plus
  • Must be proactive, highly collaborative and work well with multiple departments
  • Excellent verbal , written communication and presentation skills with an ability to facilitate meetings
  • Strong analytical skills with an ability to assess, anticipate and interpret project needs and challenges
  • Highly organized and reliable with an ability to multi-task and stay in front of project changes
