Position Title: Branch Office Coordinator – Name :

Reports To: Branch Manager and Zone Manager
Position Summary:
This position requires minimal supervision and is responsible for assisting the Branch
Manager with many of the administrative duties and responsibilities of running the day- to-day operations of the sales branch. Duties range from answering the phone, opening and distributing the mail, writing up cash receipts and deposits, maintaining various sales files, reviewing and managing deal approvals, documents and packets, monitor progress of land/home deals, maintain manuals, process branch bills, filing, copying and preparing letters as needed and various other duties as assigned.
Principal Duties and Responsibilities:
1. Back up sales department in answering incoming phone calls when necessary. The sales department has the primary responsibility to answer all incoming phone calls.
2. Write up cash receipts as necessary. Make daily bank deposits and mail copy of deposit and matching copies of receipts to corporate on a timely basis. (Copy

3. Check completed deal packets before mailing to corporate. Be sure that all required items are included, such as proof of down payment, HUD card, Form 40, completed
Shop Card, completed Cost Control Sheet, copies of driver’s licenses, etc.
4. Help maintain sales report files.
5. Maintain unit files with MCO copies for new units and copies of titles for used.
6. Review weekly corporate inventory, check to Form 1’s, update delivery dates, review with manager and make other corrections as needed.
7. Prepare monthly unit inventory and sales commission delivery reports.
8. Assist with taking of credit applications when possible. Review all credit applications for completeness.

9. Review of credit conditions on approved deals and follow customers for conditions, pay stubs, bank records, etc.
10. Maintain Sales, Finance and Operations manuals. Require managers and pertinent branch personnel signature on changes before filing.
11. Assist branch manager and maintain contact with branch staff, corporate, lenders and customers to review status of deals, loans, etc.
12. Monitor progress of land home deals and maintain up-to-date log/report on current status.
13. Maintain primary branch Purchase Order (P.O.) book. Prepare and issue purchase orders as necessary and required and getting approved by branch manager.
14. Match vendor invoices of sales and administrative items such as advertising, office supplies, etc. to P.O., approve as authorized and mail to corporate for payment.
15. Have a general understanding of the Service Manager Duties and procedures so you can assist and back up the position when requested or necessary.
16. Post of service employee’s hours and materials used to individual unit shop cards.
17. Maintain the Delivery Cost Control sheet on all sold units recording the subcontractor costs thereon as used.
18. Assist with preparation of year-end physical inventory.
19. Assist with the décor of all display homes. Maintain décor items inventory.
20. Send billings to customers for local charges, if any.
21. Filing, copying, preparing memos and business letters as assigned.
22. Monitor fax machine disbursing documents received.

23. Maintain and order office supplies as necessary.
24. Maintain branch petty cash funds, disbursing such funds as necessary and preparing
Petty cash report for reimbursement as necessary.
25. Various other functions designated to help sales or administration of the branch as directed by the manager.
Job Types: Full-time, Part-time
Pay: $18.00 - $22.00 per hour
