What are the responsibilities and job description for the Operations Coordinator position at ISN Global Enterprises, Inc.?
DEFINITION:
Under general supervision, the Operations Coordinator will utilize their general office administrative and project coordination skills. The position is responsible for collaboration with our Sales, Operations, Technical Services and Field Services teams to ensure support of the timely delivery of client solutions and deployment of projects.
Position reports to the Senior Vice President and requires work during customary office hours with occasional evenings and weekends in a physical office space as assigned. This is a full-time non-exempt position, paid hourly.
SALARY RANGE:
$20.00 - 27.00 per hour, depending on experience.
EXAMPLES OF DUTIES:
● Set up, maintain and audit project records consistently and accurately.
● Provide administrative support on active projects, from conception to close out.
● Assist Project Staff with change orders, RFI’s, and submittals for assigned projects in
conjunction with Project Manager.
● Provide status reports and facilitate communication amongst all levels within the organization.
● Assist with resource allocation & inventory management.
● Order and track status of project materials.
● Maintain project and management calendars as assigned.
● Receive, inventory, allocate, transport & prepare hardware when necessary.
● Work with Operations & Management teams on project planning processes.
● Assist with the project close out process.
● Support and assist Sales as needed including data entry in CRM systems, engage in follow-up
conversations with leads, scheduling product & service demos, and distributing sales &
marketing materials.
● Follow up with other staff on outstanding items.
● Other duties as assigned.
KNOWLEDGE, ABILITIES AND SKILLS:
● Construction/Project related Administrative experience (1 years) or equivalent education
● Excellent attention to detail
● Ability to adapt and be flexible
● Sense of urgency and expedition of time sensitive issues
● Critical thinking, analytical and problem-solving skills
● Self-starter with strong multi-tasking and follow-up skills
● Responsive and accommodating to requests made from internal staff, and client
representatives
● Must have excellent communication, teamwork, and organizational skills
● Contribute to team effort by accomplishing related results as needed
● Ability to read and interpret project contracts and plans is a plus
● Proficient knowledge of Microsoft Office & Project Management software
QUALIFICATIONS:
● A valid driver's license is required
● Must possess a high school diploma or GED
● Bachelor’s degree in Business or related field preferred
● Experience with project management systems
● PMP certification a plus
● General understanding of construction projects
LICENSE OR CERTIFICATE:
● Possession of a valid Class C California’s Driver’s License with a good driving record.
ESSENTIAL JOB FUNCTIONS/A.D.A
● Ability to operate a computer, calculator, telephone, copying machine and other office equipment
● Ability to prepare reports, maintain logs and records
● Ability to sit for two hours or more at a time
● Ability to climb a footstool or ladder independently for the purposes of retrieving records
● Ability to lift/push/pull up to 40 pounds
● Ability to get from one location to another independently in the course of doing business
