Job Brief*
Reporting to the Director of Service Delivery, the Project Coordinator is responsible for the successful delivery of multiple individual projects, creation, triaging, assignment, and follow-up of service and project tickets. They lead the overall program with strong attention to technical strategy, implementation, and delegation. Since most of our clients rely on IT Solutions as their sole technology resource, this position is key in providing excellent customer service to our clients and ensuring that their needs are met in a timely manner. At the same time, the Project Coordinator role helps balance the workload and drive the overall efficiency of the Application Development Department and management of key Network Services clients.

Responsibilities: *

  • Project Coordination and Scheduling
  • Help prepare project planning, setup, scheduling, and budgeting
  • Communicate project timeline expectations to all participants
  • Maintain Daily, Weekly, Monthly Client Meeting Responsibilities
  • Identify key requirements needed from cross-functional teams and managed partners.
  • Monitor and track project progress
  • Able to effectively manage, track, and communicate on multiple projects and activities with overlapping deadlines and expectations
  • Strategize, implement, and maintain program initiatives that adhere to project objectives.
  • Maintain organizational standards of satisfaction, quality, and performance.
  • Develop and track project budgets to stay in line with client’s budget for maximum productivity.
  • Accurate and Timely Project Billing and Reporting
  • Work closely with project engineers, client strategy team and managed partner clients to plan and develop scope, deliverables, resources, work plan, budget, and timing for new initiatives.
  • Analyze, evaluate, and overcome program risks, and produce program reports for management and key stake holders.
  • Build trusting relations with our key partners and stakeholders with multiple projects.

Requirements:

Project Coordination and Scheduling

  • Help prepare project planning, setup, scheduling, and budgeting
  • Communicate project timeline expectations to all participants
  • Lead planning meetings
  • Monitor and track project progress

Able to effectively manage and track multiple projects and activities with overlapping deadlines and expectations

  • Client updates and communication as the point of contact and communicate project status adequately to all participants

Accurate and Timely Project Billing

  • Monitor, review, and ensure team member utilization rates

Service Work coordination and Scheduling

  • Assign tickets to appropriate team members based on availability, skill set, and priority
  • Monitor and track ticket progress

Track Project Budgets and Reporting

Experience:

Preferred Experience:

  • Proven work experience as a Project Management\Coordinator or similar role
  • Experience in project management, from conception to delivery
  • Working knowledge of change management principles and performance evaluation processes
  • PMP / PRINCE II certification is a plus
  • Bachelor’s degree in business administration or related field
  • Agile experience

  • 5 years of experience in project coordination (preference program management experience)
  • Solid organizational skills including attention to detail and multitasking skills
  • Exceptional leadership, time management, facilitation, and organizational skills
  • Project Management & Stakeholder management skills
  • Strong analytical abilities and problem-solving skills
  • Excellent written and verbal communication skills
  • Ability to work independently with minimal managerial supervision.
  • Strong working knowledge of Microsoft Office, Teams and of project management tools
  • Understanding of IT and project/program management techniques and methods

Compensation Package:

*Salary Range: $50-65k, commensurate on experience.
