What are the responsibilities and job description for the Trust Operations Specialist position at ITASCA BANK & TRUST Company?
The Trust Operations Specialist will support the Trust Administrators and Officers in the Itasca Branch. The Trust Operations Specialist is a key member of the Trust team, working directly with clients, colleagues and is responsible for performing a variety of diverse administrative functions while delivering excellent customer service. The role entails adapting and championing the Itasca Bank & Trust culture, values and business practices.
Essential Functions
- Client relationship management: engage with customers, handle requests from start to finish; resolve issues in a timely manner while ensuring customers are well informed of the status of their requests and/or issues that may arise.
- Collaborate with Trust Administrators during new customer onboarding, including account set-up, monitoring receipt of pertinent account information and documentation.
- Prepare or track investment reviews, asset allocations and coordinate review with Trust Administrators; ensure required account information is collected and appropriately updated into the appropriate platform/s.
- Participate in document preparation for audit requests and in vendor on site audits.
- Perform monthly charges to customers for account fees.
- Maintain record of items in Vault Safekeeping.
- Perform daily reconciliation, including account balancing and discrepancy resolution.
- Process wire transfers, check disbursements, distributions (i.e., RMD’s, tax and bill payments).
- Conduct month end asset holding reconciliation with custodians.
- Submit mutual fund and stock trade orders accurately.
- Prepare reporting for clients or third parties.
- Perform reconciliation of customer invoices, leases, etc. and prepare P&L statements.
- Participate in annual 1099 and 5498 tax reporting and delivery to customers and third parties.
- Perform legal processing for subpoenas, levies, etc. on behalf of the Bank.
- Collaborate in the Business Continuity testing.
- Participate in procedure creation or updates.
- Receive incoming mail and disburse to individuals in the Trust Department.
- Assist with document filing.
- Participate in preparation of monthly Board Committee Meetings.

Provide back-up support for the Land Trust Team.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand, walk, drive use hands to finger, handle or feel; and reach with hands and arms. Prolonged periods sitting at a desk and working on a computer.
Position Type/Expected Hours of Work
This is a full-time non-exempt position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5:00 p.m. Evening and weekend work may be required as job duties demand.
Travel
Travel is not expected in this role.
Required Education and Experience
- 3-5 years’ experience in all aspects of personal trust/wealth management
- High school diploma or GED
- Bachelor’s degree in business related field preferred
- Enthusiastic, self-motivated individual with the ability to work in high pressure, time sensitive environment
- Excellent interpersonal and customer service skills
- Excellent organizational skills and attention to detail
- Strong analytical skills and problem-solving skills
- Excellent verbal and written communication skills
- Demonstrates professionalism and discretion when engaging with internal colleagues and customers
