Job Description Summary
The iTrip VP of Operations will be responsible for all on-site aspects of unit management for over 100 short-term rental properties including guest acquisition, inhouse guest experience, housekeeping, and ongoing maintenance repairs.
The VP of Operations is a highly self-motivated and results driven business unit leader who directs and manages the organization’s daily business activities, develops effective business strategies, and implements programs to meet overall growth objectives. They account for staff development, controls of and efficiencies of daily operations, sales objectives, EBITDA management, client and vendor relationships and embody the organization’s image.
The Vp of Operations also determines and upholds the vision and mission of the company.
What You’ll Do (Functions & Responsibilities)
- Operations Management: The VP ensures that all aspects of iTrip operations run smoothly. This includes oversight of the property maintenance, housekeeping, guest services, and vendor relationships. Establishes, communicates, and implements operations-related policies, practices, standards, and security measures to ensure effective and consistent support and execution.
- Strategic Planning: Establishes, implements, and communicates the strategic direction of iTrip’s operations division to optimize rental revenue, occupancy rates, and guest satisfaction. This involves analyzing market trends, setting pricing strategies, and identifying growth opportunities.
- Financial Management: The VP oversees budgeting, financial reporting, and cost control. They work closely with finance teams to ensure profitability and efficient resource allocation.
- Quality Assurance: Ensuring consistent quality across rental properties is crucial. The VP establishes and monitors standards for cleanliness, safety, and guest experience.
- Team Leadership: Collaborates with leadership to develop and meet company goals while supplying expertise and guidance on operations projects and systems. Lead and motivate property managers, staff, and other team members. Effective communication and collaboration are essential. Identifies training needs and ensures proper training is developed and provided.
- Marketing and Sales: The VP collaborates with marketing teams to promote rentals, attract guests, and manage online listings. They also explore partnerships and distribution channels.
- Technology and Systems: Staying updated on industry technology (such as property management software) is vital. Identifies, recommends, and implements new processes, technologies, and systems to improve and streamline organizational processes and use of resources and materials.
Administration
- Hires, trains and develops multiple teams of 4-8 members per team, including seasonal team members.
- Maintains operational protocols and efficiency, allocates resources, and monitors the success of key performance indicators.
- Develops and maintains relationships with property owners and prospective owners.
- Communicates with relevant vendors and trade associations.
- Reviews vendor relationships on an ongoing basis and makes changes to improve efficiencies.
- Conducts business development marketing to prospect new units to manage. This includes working with referral sources, creating market analysis (pro formas) for prospective units and negotiating with property owners.
- Creates, reviews, updates and enhances operational workflow processes.
- Oversees the handling of and is involved in responding to complaints from clients.
- Works with Marketing to conduct frequent client satisfaction surveys and follow up with clients on issues, if warranted.
- Submits timely and accurate reporting, as required.
- Responds to corporate office requests.
Financials
- Analyzes and/or maintains budget, P&L, and other financial reports
- Manages the company’s cost of goods sold (COGS) and expenses
- Ensures the company hits the forecasted revenue numbers
- Maintains awareness and knowledge of the company’s daily finances.
What We’re Looking For (Minimum qualifications)
- 5 or more years of management experience in property management.
- Valid driver’s license and the ability to commute to PCB properties.
- Real Estate Brokers license required.
- Experience with the day-to-day operations of short-term/vacation rental property management, including revenue management, preferred.
- Previous technology experience or aptitude a plus.
- Advanced working knowledge of all Microsoft Office products, with a focus on Excel (can create pivot tables, for example) and Word.
- Attentive to timelines and excellent time management skills.
- Keen attention to detail and high level of accuracy.
- Committed to providing world-class client service to property owners, rental guests, vendors and more.
- Ability to read, analyze, and interpret data, contracts, and vendor agreements.
- Strong conflict resolution and negotiating skills.
- Remote office and management experience.
- Willingness to keep current with new trends and legal/regulatory aspects of the short-term/vacation rental industry.
- Budgeting and monthly financial reporting experience required.
- Superior interpersonal skills including effective written, verbal and listening.
- Strong analytical and problem-solving abilities.
- Ability to work weekends during peak rental times.
Education Requirements
- Bachelor’s degree in business administration or related field. MBA/Master’s preferred.
