Job Scope
The Receptionist is responsible for greeting customers, vendors and other office staff, coordinating customer service requests, providing back up to team members, and completing special projects for management staff. This is a job-share position which requires a high-level of communication, collaboration, respect and cooperation.
The Receptionist, as with all Shea team members, is expected to conduct himself / herself in a professional manner that is consistent with Shea Core Values and the Business Ethics, Employee Conduct and Confidentiality policy.
Job Duties
- Welcome and provide courteous service to employees of Shea Properties, assist when required on various front office tasks, i.e., FedEx mailing etc.
- Assist Office Manager with various tasks as deemed necessary.
- Welcome and provide courteous customer service to vendors, and general-public, greet visitors and direct guest traffic to the proper employee or meeting area.
- Manage all incoming phone calls and emails with respect to Shea associates, in a switchboard-like manner utilizing company driven software.
- Forward calls or emails into appropriate inboxes, retrieving and addressing messages from several office phone lines and scheduling appointments when necessary. Ensuring that urgent messages are filtered to the appropriate employee for response in a timely manner.
- Maintain organization of all of conference rooms, to include but not limited to; providing applicable amenities prior to meetings and removing of any all items as needed and upon meeting completion.
- Maintain organization and cleanliness of reception area and front office.
- Maintain organization and cleanliness of outer office areas such as; copy room(s), breakroom and other areas, as deemed necessary.
- Maintain and order all office supplies throughout the office.
- Maintain, stock and order breakroom supplies, to include but not limited to, all beverages, wellness snacks, fruit water, paper/plastic plates, knives, forks, spoons, etc.
- Assist with company wellness program.
- Upon request, assist with new employee set up such as, ordering business cards, making sure applicable building/office entry is operational, trouble shoot access issues as needed, update phone lists accordingly, work with IT to ensure copier and other equipment is programmed with new employee information.
- Retrieve and disburse mail, packages and deliveries to employees and process packages for delivery as requested.
- Complete maintenance work orders of office, breakroom and other equipment necessary to maintain proper functioning of the same.
- Update manager/team leader of pertinent information accordingly, i.e., copier repair, etc.
- Perform other duties as assigned.

- Customer service experience required.
- Experienced with Microsoft Office products (Word/Excel/Outlook)
- High School Diploma or equivalent.
Work Environment
The Receptionist is based in an office location. The position is required to work regularly scheduled office hours weekdays from 8:00 a.m. – 5:00 p.m. However, the Receptionist should be flexible with availability depending on the needs of the department.
Physical Requirements
While performing the duties of this job, the employee is frequently required to stand, walk, sit, use hands, reach with hands and arms, stoop, kneel, squat and lift objects. May be required to lift and/or move up to 50 pounds.
