We're seeking a dynamic individual for the role of Personal Assistant / Receptionist. If you're passionate about providing exceptional service and thrive in a fast-paced environment, we'd love to hear from you!

Description: As a Personal Assistant, you will be the primary point of contact for managing the Chairman's day-to-day agenda.


RESPONSIBILITIES

  • Manage Chairman's daily schedule
  • Check birthday calendar daily, and remind him
  • Book doctor's appointments as needed
  • Manage prescription refills, track which pharmacy each specialist uses, and coordinate how to pickup/deliver prescriptions
  • Order supplmenets for Arabov family members (prepare supplements for travel in advance)
  • Serve tea, coffee, and food as requested
  • Organize executive family's lunch with housekeeping
  • Coordinate with CEO EA: weekly nutritionist visits, interviews, etc.
  • Order weekly floral arrangements for Arabov office and home
  • Notify the driver of any appointments during office hours
  • Welcome guests, employees, and clients, who arrive at the executive floor and clarify the purpose of their visit and who they want to see
  • Communicate with the executive team about agenda disruptors (Jacob's naptime, external meetings, appointments, etc.)
  • Pickup all package deliveries for Jacob, Ben, and David
  • Notify security of Chairman's expected visitors
  • Stock 2nd floor service closet, EA office, and kitchen (order supplies as needed on company card - track all expenses in Expensify)
  • Contact the tennis club weekly, book matches or private lessons (depending on
  • travel)
  • Make reservations for the Arabov family and extended relatives
  • Run errands as requested
  • Research new practices and providers for all health-related matters
  • Secure tickets to entertainment events
  • Assist with personal shopping, including researching and sourcing specific items internationally (clients, gifts, family, etc.)
  • Assist jewelry production team with administrative tasks (ex., use POS to create jewelry certificates for E-comm orders, collect jewelry boxes for orders, wrap/tag pieces)


JOB REQUIREMENTS

  • Must be able to work full-time and in-person
  • Previous experience as a receptionist or administrative assistant
  • Experience in a luxury retail/service environment is a plus
  • Excellent written and verbal communication skills in both English and Russian languages
  • Self-starter, organized, efficient, and able to maintain professionalism in a fast-paced environment
  • Excellent interpersonal skills -- polished verbal ability, outgoing personality, and excels in guest service
  • Proficient in computer skills and a team player
  • Professional and polished appearance at all times
