Job Title: Family Programs Coordinator

Department: Family Services and Programs

Reports to: Family Programs Manager

Starting Range: $67,400 Annual Salary/Exempt

The Family Programs Coordinator is a key member of the Family Services and Programs Team at

Jacob’s Heart. They will ensure all family events and services are supported and coordinated as needed. They will work directly under the supervision of the Family Programs Manager.

Jacob’s Heart Children’s Cancer Support Services exists to improve the quality of life for children with cancer and support their families in the challenges they face. We provide family-centered care that addresses the emotional, practical, and financial struggles for families of children and teens in treatment for cancer and for families who are bereaved by the loss of a child due to cancer. We envision a community where every child with cancer has a strong, supported, and informed family able to fully participate in their care. We strive to inspire compassionate action within local communities to create a safety net of support for the unique needs of each child and family.

Essential Functions

The essential functions listed are typical examples of work performed by the Family Programs

Coordinator and not a comprehensive inventory of all duties, tasks, and responsibilities.

Employees may also perform other duties as assigned.

● Coordinate, project manage and attend at the direction of supervisor, clinicians and other JH team members the following family events including but not limited to:

  • Art from the Heart
  • Candle Lighting
  • Dia De Los Muertos
  • Camp Heart and Hands
  • Forever Loved Retreat
  • Holiday Party and other family events

● Organize and mail family newsletters working with the Family Support Specialist team to gather important information for the upcoming month. Work with the counseling department to offer tips and tools for families. Maintain database, mailing list, print, and mail newsletters in a timely fashion to ensure accurate/up to date information is distributed to families in both English and Spanish

● Maintain effective communication with the Programs Team to stay informed about upcoming events, changes in schedules, and any other relevant information

● Provide coverage and support for both the Full Hearts and Transportation programs as required

● Maintain family data and ensure all families are being communicated with (i.e. level 2 families)

● Coordinate supplies and needs for in treatment and bereaved support groups (i.e. order food, set up space, ensure all supplies are procured and ready for support group, assist with RSVP’s as needed) working with clinicians for any curriculum needs for kids while parents are in support group. Ensure FSS are on the calendar to staff support groups

● Coordinate Teen group (i.e. permission slips, transportation, partner agencies for field trips, supplies needed, invitations, rsvp’s ect). Ensure FSS are on the calendar to staff teen groups/outings. Work with clinicians to get needed supplies for any lessons/curriculum

● Coordinate Holiday Hearts - Adopt A Family. Work with FSS to get wish lists, oversee documentation, work with Development and communications team to pair with donors as well as work with Volunteer Coordinator to get volunteers to wrap and prepare gifts.

Coordinate gift distribution to families

● Ensure remembrances are mailed and death anniversary gifts are purchased and sent to families

● Purchase and ensure celebrations for families are delivered

● Support Director of Family Services & Programs and Family Programs Manager as needed

● Attend outreach events as needed (i.e. chamber events, fundraisers etc)

● Strong interpersonal skills

● Compassionate and understanding, especially in dealing with families facing pediatric cancer.

● Organized and detail-oriented

● Ability to triage tasks and make sound judgment decisions

● Ability to multitask

● Comfortable working with Microsoft Suite, Google Drive/calendars, Asana, Slack, and

Salesforce

● Ability to work effectively in collaboration with diverse groups of people

● Passion, idealism, integrity, positive attitude, mission-driven, and self-directed

● Strong work ethic and unwavering dedication to the well-being of children and families

Requirements

● Bicultural/bilingual in Spanish and English

● Bachelor's degree in a Human Services related field or equivalent work experience

● Ability to work some evenings and weekend events

● Ability to pass a background check

● Ability to lift up to 25 pounds

● CPR/First Aid Adult-Pediatric Certification Preferred (if not provided)
