What are the responsibilities and job description for the HR Coordinator position at Jacob’s Pillow?
- Address questions, and inquiries, and provide HR support services to all staff and management team.
- Support the entire employee lifecycle, including new hire onboarding, benefits administration, maintaining accurate, up-to-date personnel files, leaves of absence management, and offboarding.
- Reconcile benefits billing and enrollments, supporting accounting requirements for payment recording and issuance.
- Provide administrative support for HR projects and the HR Director.
- Respond to inquiries related to HR policies and procedures.
- Maintain HRIS, ensuring data integrity and accurate reporting.
- Assist with job postings, coordinating interviews, and facilitating background checks.
- Respond to verification of employment (VOE) and unemployment requests in a timely and accurate manner.
- Support the administration and set up of performance reviews.
- Provide technical support, troubleshooting, and guidance to employees.
- Regularly audit compliance measures based on federal, state, and local laws.
- Ensure all HR-related systems are compliant with data protection laws.
- Prepare payroll entries and input them into the payroll system.
- Enter new hires, terminations, status changes, benefits, and other salary deductions.
- Reconcile payroll variances with the Controller and Director of Finance.
- Assist with payroll-related reporting.
- Assist with drafting, seeking authorization, and dissemination of Letters of Agreement.
- Assist in conducting orientation for new hires and monitor onboarding procedures.
- Minimum 2 years of HR experience (payroll experience preferred).
- Working knowledge of payroll compliance and agency preferred.
- Proficient in Microsoft Suite, Google Docs, and payroll systems (Paycor preferred).
- Prior nonprofit experience preferred.
- Excellent organizational and oral, and written communication skills.
- Attention to detail and enthusiasm for administrative tasks.
- Team player with a take-charge attitude in a fast-paced work environment.
- Must be able to pass a background check.
- Excellent customer service skills.
- Office setting: including sitting, standing, walking, and bending.
