Fantastic opportunity available for an ambitious Executive Assistant to support our COO. The ideal candidate is dynamic, organized, a strong communicator, and is able to work independently in a fast paced environment.
Job Responsibilities include:
- Preparing financial statements, reports, memos, invoices letters, and other documents.
- Screen and prioritize all communications including phone calls, emails, and managing the COO’s calendar.
- Handling bookkeeping tasks including payroll.
- Filing and retrieving corporate records, documents, and reports.
- Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
- Coordination of activities (operations and planning) and ensuring timely flow of information to and from the executive office
- Planning and orchestrating work to ensure COO’s priorities are met managing the business
- Prepare and edit correspondence, reports, and presentations.
- Manage travel arrangements and proactively coordinate the pre-planning of trips, including arranging appropriate travel and expense reimbursements.
- Act as the lead in tracking, monitoring and following the progress of open tasks.
- Act as liaison between COO and management team.
Requirements:
- Bachelor’s degree or 2 years of administrative experience.
- Minimum 1 years’ experience supporting C-level Executives preferred.
- Have proven ability to independently manage multiple tasks and projects.
- Ability to anticipate the COO's needs and proactively bring together appropriate people and resources to support the executive in addressing issues.
- Ability to remain focused, efficient and effective in managing multiple priorities.
- Handle confidential information related to employees and company
- Proactively take appropriate actions and have the ability to make independent judgments and decisions
- Strong interpersonal skills.
- Highly proficient with Google Suite and willingness to learn other software.
- Excellent written and verbal communication skills.
- Ability to work in a fast paced environment and maintain effective working relationships with vendors, clients, co-workers and management team.
- Some after-hours support when necessary
Job Type: Full-time
Pay: $50,000.00 - $60,000.00 per year
