Job Overview
Jensen Hughes is looking for a detail-oriented and experienced Payroll Administrator to join our team. The ideal candidate will be responsible for ensuring accurate and timely processing of payroll transactions, handling various payroll-related tasks, and maintaining compliance with applicable laws and regulations. As a key member of our Human Resources department, you will report to the Director of Global Payroll and support the processing of over 1,000 employee multi-state biweekly ADP payroll.
Responsibilities:
- Process global timesheets, reclasses, timesheet reversals, supplemental wages, and manual timesheets using Deltek (Costpoint/T&E).
- Assist in end-to-end payroll processes, including data entry, wage calculation, and ensuring timely disbursement of salaries using ADP Workforce Now (WFN).
- Verify and process payroll changes such as new hires, terminations, promotions, and salary adjustments in ADP and the timekeeping system Deltek (Costpoint/T&E).
- Perform basic reconciliation and auditing processes during each pay cycle for the US and Canada.
- Collaborate with the Payroll Specialist to maintain accurate and up-to-date employee payroll records.
- Generate reports related to payroll, taxes, and benefits as needed.
- Assist the team in responding to employee inquiries about payroll matters, addressing pay discrepancies, and handling tax-related issues.
- Assist with audits and reconciliations by conducting regular audits of payroll records to identify and rectify discrepancies.
- Reconcile payroll accounts and resolve any discrepancies between GL and ADP.
- Process and reconcile Paid Time Off (PTO) accruals and maintain advance PTO balances.
- Provide excellent customer service to employees at all levels of the organization.
- Collaborate with HR and other departments to ensure accurate and consistent employee data.
- Perform any other duties as assigned.
Qualifications:
- Proven experience as a Payroll Specialist, Payroll Coordinator, or in a similar role.
- Knowledge and proficiency in Deltek (Costpoint/T&E) or related systems is required.
- 3 to 5 years of current experience in payroll administration.
- Experience working with professional services firms is preferred.
- Must have experience with ADP Workforce Now (WFN) and ADP’s Human Resources (HR) software platforms.
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field is a plus.
- In-depth knowledge of payroll processes, tax regulations, and compliance requirements.
- Experience with multi-state payroll processing, including knowledge of state-specific laws.
- Deep understanding of payroll tax forms such as W2, and state and federal withholding.
- Strong attention to detail and accuracy in data entry and calculations.
- Excellent organizational and time-management skills.
- Effective communication and interpersonal abilities.
- Ability to multitask and handle confidential information in a professional manner.
- Proficiency in payroll software and Microsoft Office, especially Excel.
- Ability to thrive in a fast-paced environment and strong problem-solving skills.
