TRADE SHOW COORDINATOR – EVENT PRODUCTION AND EXHIBIT INDUSTRY
JET The Agency, LLC is a premier, event production and exhibit trade show company. Headquartered in Las Vegas we specialize in custom exhibit trade show booths, exhibit booth rentals, furniture rentals, displays and fabricated structures.
We are looking for a team player with passion for and experience with corporate event planning and project management to support our Las Vegas, Nevada facility. This individual would provide outstanding customer service and is an enthusiastic individual who is able to manage vendors, internal and external customer relationships.
**Knowledge of CAD and Graphic Design/Marketing Background a big plus.
Job Description:
A trade show coordinator typically has a wide range of responsibilities, which can include:
- Meet with trade show/event companies to understand the purpose of their meeting or event and ensure that it is compatible with the organization’s purpose, policies, and requirements
- Plan the scope of the event (e.g., time, location, program, cost) for the organization
- Solicit bids from lodging, transportation, and trade show-related services where they are not provided by the event host or sponsors (e.g., photographers)
- Work with the event host to ensure that required services (e.g., setup, breakdown) are provided
- Monitor event activities to ensure satisfaction of attendees and the organization
- Review event billings and approve payment with JET leadership.
- Coordinating the design and production of trade show booths or displays, including selecting booth furniture and flooring materials
- Arranging travel accommodations and transportation to and from events, including car rentals or airfare
- Planning trade show schedules and determining booth space requirements based on our client’s needs.
- Communicating with other staff members to ensure that all details of the event are handled properly
- Coordinating with the venue manager to determine the size of the event space and make other arrangements for the event to run smoothly
- Resolving problems with vendors or other attendees that arise during the event
- Preparing the client’s booth for the event including ordering supplies and arranging furniture
- Work closely with internal sales, customer service, design, and production staff to understand all aspects of the project.
- Participate in customer project meetings either alone or with sales personnel.
- Travel as needed for pre-site inspections and onsite supervision of installation.
- When in between projects, assist in other areas of the operation as needed.
QUALITFICATIONS:
A bachelor’s degree in events or marketing is required. 2 years experience in exhibit trade show or event management or other suitable line of work is also required.
Must have demonstrated the ability to lead a diverse team. Good communication skills and the ability to work well with people at all levels are essential. Strong planning, organizational, and presentation skills are needed. Some project management experience is desired.
Desire a candidate with trade show/event/convention planning certification. Solid experience with Microsoft Office (esp. Word, Excel and PowerPoint) is required.
