Assistant Specialist, Strategic Sourcing- What This Job Involves
- Provide support for Integrated Facilities and Project Delivery clients and internal stakeholders related to optimization of JLL managed services operations and sourcing strategies.
- Provide support for delivering supplier and operational improvements; leading and executing strategic initiatives.
- Provide support, instruction, and follow-up to operations/project delivery teams through RFP, bid, contracting and operational processes. Be proactive and manage internal and external customer expectations.
- Create and track Sourcing Requests for contract extensions, renewals, and new services through Aravo platform.
- Work with Integrated Facilities Teams, Project Delivery Teams, and suppliers to define scope and negotiate pricing.
- Closely align with Integrated Facilities and Project Delivery Managers to draft and execute contracts, amendments, and Letters of Engagement with the ability to provide phased approaches to delivery as well as proper level of detail (scope, asset level detail, detailed pricing)
- Manage the onboarding of suppliers through the proper platforms through the final contract execution process
- Ensure supplier rates align with service agreements and are updated in accordance with contractual increases and service level changes through the Amendment process. This includes reviewing supplier contracts and identifying any necessary updates to rates, as well as coordinating with suppliers to ensure timely implementation of these changes.
- Function as a liaison between Shared Services, Corporate Legal and Risk Management to ensure all contractual terms and conditions comply with standard or other contract changes and are formally reviewed and approved by legal/risk management.
- Assist Sourcing Leader with work priorities, complete deliverables timely and resolve issues with Integrated Facilities/Project Delivery teams, temporary help and/or project-specific dedicated personnel to assure client satisfaction, customer satisfaction.
- Support Category Management team’s supplier relationship and performance programs with key suppliers.
- Ensure compliance to JLL’s and client’s sourcing and contracting policies, procedures, risk management programs, and ethics.
- Help maintain data integrity in all systems and ensure required documentation is received and required process steps are completed.
- Provide analysis and compliance reporting to Sourcing Lead, identifying risks and actions as appropriate compliance gaps between procurement and work order systems.
- Complete system audits to ensure KPI (contract and compliance) reporting is accurate.
- Close collaboration with account team and client required to include weekly 1:1s with (sourcing/account) peers to be established and prioritized.
- Support and assist development of diversity programs in accordance with clients and company requirements. Mentor/educate suppliers through meetings.
- Minimum 2-5 years strategic sourcing experience
- Demonstrates capacity to excel in a dynamic and fast-paced work environment, adept at effectively managing and adapting priorities to meet the diverse needs of clients and accounts.
- Excellent Inter-personal skills, Organization skills, Strong Analytical Ability, Proven ability to work independently while supporting teams in decentralized environment.
- Excellent communication skills – oral and written.
- Bachelor’s degree (BA/BS) from four-year college or university preferred.
- Project management and business transitions experience preferred.
