What are the responsibilities and job description for the Project Coordinator position at JM Test Systems, Inc?
The Project Coordinator provides project management and administrative support for daily operations. He or she performs a variety of tasks including but not limited to document development and tracking, computerized data entry, electronic filing, procedure and software application integration. The Project Coordinator acts as a liaison between Engineers, Managers and Technicians, documenting and updating technical projects, policies, procedures, and other related documents throughout the day. This position has the responsibility to Lead and Coordinate ad hoc focus groups as necessary to evaluate and implement new or updated projects, policies, and procedures. The position is an integral role supporting the company and develops communications of changes of processes and confirms acknowledgement of receipt of said changes, when necessary. The position supports company operations to foster excellence in executing JM Test Core Values, following Quality System protocols, and exceeding customer expectations.
Education: High school diploma or GED equivalent required. Bachelor’s Degree in a technical or business-related field preferred.
Training and Experience Required: Industry-related (Electric Utility, Petrochemical, Oil and Gas) customer service experience is highly desirable. Industry-related administrative or Human Resources experience as well as previous project support experience is preferred. Previous reporting experience required.
Knowledge, Skills, and Abilities Required:
- Proficiency using Microsoft Office programs (Outlook, Excel, Word, and PowerPoint) and other computer software and communications systems.
- Effective planning and organizational knowledge and competencies including excellent time management skills.
- Ability to communicate clearly in oral and written form; interpret and explain relevant projects, polices and procedures; update and inform team on current project statuses.
- Ability to perform job duties with only general guidance from supervisor.
- Working knowledge of project scheduling software such as Primavera or Microsoft Project.
May be required to travel up to one week or more at a time, including air travel; a valid driver’s license and insurance is a necessity.
AREAS OF RESPONSIBILITY AND ESSENTIAL TASK/DUTIES
Project Management
1. Creates monthly project progress reports as needed for each client.
2. Requests purchase orders for all project-related expenses and assists in tracking and reviewing change orders.
3. Process new vendor/subcontractor setups; requesting necessary JM Test purchase orders and tracking related vendor invoices.
4. Assists with the administration of and training for project-specific software (ie Smart Completions).
5. Orders, distributes, and tracks project-related equipment, materials, and tools as needed.
6. Assists in training assessment needs. Record and communicate training needs to appropriate personnel. Schedules and assists with training sessions as needed. Documents meetings and training sessions.
7. Conduct post-project analysis and make note of possible improvements for future projects.
Operations Management
1. Observes, assesses, and communicates recommendations to improve productivity, quality, and efficiency of project operations, equipment utilization, procedures, and training.
2. Manages inventory of spare parts, PPE, equipment, etc.
Administrative & Other Support
1. Performs general administrative duties such answering telephone, filing, and typing to support office efficiencies and customer services in a timely, accurate, and courteous manner.
2. Serves as a point of secondary responsibility for Field Services Personnel in the field regarding benefits, payroll, and expenses.
3. Prepares project-related correspondence; letters, memos, and emails.
4. Assists in preparing quotes and project bids.
5. Assists in coordinating and scheduling meetings as well as monthly and quarterly updates.
6. Contributes to safety culture and supports safety program and initiatives in compliance with company policies and procedures.
Job Type: Full-time
Pay: $50,000.00 - $60,000.00 per year
