Job Details

We are seeking a dynamic and experienced Office Manager for our fast-paced non-profit practice. This position plays a crucial role in the smooth running of our office operations and requires a candidate with a strong background in office management, preferably within the non-profit sector. The ideal candidate will have exceptional communication skills, proficiency in Microsoft Office Suite, proven leadership abilities, and a knack for providing executive assistance and meeting support. The Office Manager will be responsible for overseeing all administrative tasks, ensuring that the office runs efficiently and effectively. This role requires a minimum of 5 years of experience.

Responsibilities

  • Oversee and manage all office procedures and processes to ensure the office operates smoothly.
  • Provide executive assistance to senior staff, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  • Lead, train, and manage administrative staff, fostering a positive and collaborative work environment.
  • Implement and maintain organized filing systems for easy access to critical information.
  • Liaise with external vendors and suppliers, ensuring all office supplies and equipment are stocked and functional.
  • Coordinate with IT department to ensure all office equipment is operational and properly maintained.
  • Prepare reports and presentations using Microsoft Office Suite.
  • Ensure compliance with healthcare regulations and safety standards.
  • Assist in budget development and expense management.
  • Handle sensitive information and maintain confidentiality at all times.

Qualifications

  • Minimum of 5 years of experience in office management, preferably in the healthcare or medical industry.
  • Exceptional communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Proven leadership skills with the ability to motivate and manage a team.
  • Experience in providing executive assistance and meeting support.
  • Excellent time management skills with the ability to prioritize and multitask.
  • Strong organizational skills with a keen eye for detail.
  • Familiarity with medical terminologies and healthcare regulations is a plus.
  • Bachelor’s degree in Business Administration or a related field is preferred.
  • Ability to handle sensitive information with the highest degree of integrity and confidentiality.
