The PSTS Communication and Project Manager will support the PSTS Head and the full PSTS Operations team and will be responsible to:
- Manage all aspects of PSTS ST meeting communication, including meeting minutes collection, meeting minutes/tasks distribution
- Coordinate action meeting follow ups to ensure task/deliverable completion
- Manage PSTS Yammer site
- Assist with the document and database management
- Generate reports for PSTS head and operations team
- Partner with internal enabling teams (including IT) to optimize development and management of the PSTS SharePoint website
- Communicate effectively and with discretion with internal and external partners at all levels, including on confidential and critical matters.
Key responsibilities:
Perform communication and project management support for PSTS Vice President and PSTS operations team, including:
- Project Management:
- Track deliverables, due dates and ensure follow-up as needed on projects and assignments
- Assemble relevant data, compile statistics or information as directed.
- Communication:
- Coordinate meeting follow-ups, task assignment, etc. to ensure timely action completion,
- Proven ability to communicate effectively and articulately with all levels of the organization.
- Ability to think analytically and ahead and exercise sound judgment and discretion
- Coordinate electronic file management of documents to ensure version control and organization of files (Microsoft Teams, SharePoint)
- Technology: Master use of communication and project management technology associated with your support of the PSTS LT and Operations stakeholders
- Software and systems: Windows, Microsoft office: Excel, PowerPoint, Word, Outlook, Visio, SharePoint, OneNote, Microsoft Teams, Yammer, etc.
- Procurement: Assist with preparation of contracts with outside consultants, submit purchase orders and/or check requisitions (International Contracts Database, eMarketplace, etc.), as needed
- Demonstrate flexibility and the ability to independently handle and respond to multiple priorities and shifting demands while maintaining the sense of urgency is required
- Ability to handle a workload that may involve critical deadlines
- Build and maintain effective relationships and trusted partnerships with internal and external partners.
- Develop in-depth knowledge of department strategic plan key objectives
- Collaborate with PSTS administrative coordinator and operations partners to ensure business continuity and efficiencies.
Qualifications
- A minimum of a High School diploma is required; an Associate's degree or higher and/or CPS is preferred.
- A minimum of two years of project management and/or communication experience is required
- Expert level proficiency in Microsoft Office programs (Outlook, OneDrive, Word, Excel and PowerPoint) is required.
- Ability to learn specialized computer software used for communication, project management, procurement and other applications is required.
- Ability to think analytically and to exercise both discretion and sound judgment are required.
- Strong organizational and time management skills, excellent attention to detail and the proven ability to prioritize work against critical deadlines in a dynamic, fast-paced, multicultural, global environment is required.
- Must be proactive and possess the ability to plan ahead and drive execution of tasks/projects.
- Must be a self-starter with strong interpersonal skills and ability to work independently in the absence of supervisors.
- Ability to anticipate stakeholder needs without direct instruction and be proactive in addressing them is required.
- Must be a strong team player with the ability to coordinate with other operations and administrative staff.
