Communication and Stakeholder Engagement Coordinator
Job Summary
KAI Partners is looking for a dynamic and motivated Communication and Stakeholder Engagement Coordinator. This role will provide administrative support to coordinate amongst leadership and stakeholders. This role will support executives through a variety of tasks related to organization and communication with an emphasis on project management and business analysis as needed. This position requires excellent written and verbal communication skills as well as top-notch organizational skills to ensure a smooth efficiency amongst leadership and stakeholders.
Responsibilities:
- Establish and maintain a statewide network of children, youth, and family engagement to drive Client outcomes and performance measures
- Draft internal and external stakeholder communications/announcements/reports
- Track and monitor stakeholder engagement and draft monthly reports for our client’s leadership
- Coordinate development and implementation of our client’s stakeholder engagement plans, including at the agency level and in partnership with our client’s agency departments
- Help develop initiative-level stakeholder engagement plans that include a range of modalities including affinity group meetings, focus groups, and public webinars that equitably, thoughtfully, meaningfully, and comprehensively engage stakeholders to advance the work of the Client
- For stakeholder engagement meetings, help develop plans, agendas, engagement approaches, run of show, and coordinate events and follow-up steps
- Work with colleagues to apply our client’s equity framework to stakeholder engagement work
- Support coordinated stakeholder engagement planning and efforts across our client’s agency departments
- Serve as point of contact and liaison to stakeholders regarding our client’s stakeholder engagement meetings information, activities, and opportunities
- Provide coordination and project management support for work with contractors conducting stakeholder engagement
- Write meeting summaries of stakeholder input that capture the range of issues, identify themes and key points and questions, and thoughtfully synthesize findings to assist our client’s planning and decision-making
- Plan and implement robust communications to ensure stakeholders are aware of our client’s stakeholder engagement plans, activities, and opportunities for participation, such as ensuring current, accurate information on stakeholder meetings is accessible to stakeholders
- Track our client’s general email account and coordinate responses to inquiries and comments
- Track stakeholder engagement and produce regular reports, summaries, and slide presentations of activities
Skills and Qualifications:
- Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers
- Knowledge of correct grammar, spelling, punctuation, capitalizations, and format to accurately prepare and edit written correspondence and reports
- Knowledge and experience critical thinking and problem-solving skills
- Excellent computer proficiency (MS Office – Word, Excel and Outlook)
- Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
- Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices
- Ability to lead and facilitate meetings
- Maintain compliance with all company policies and procedures
- Must multi-task with an appropriate sense of urgency
- Must be able to communicate effectively with executives and leadership
Work/Education Experience:
- High school diploma or GED required
- Bachelor’s degree required
- 3-5 years of administrative/clerical experience preferred
- 3-5 years of experience in business analysis preferred
- 3-5 years of project management experience preferred
- 3-5 years of community-based experience (i.e., community involvement) preferred
Physical Requirements: Minimal travel may be required for this role.
