Kanta Electric (“Kanta”) is seeking an Administrative Assistant to support Senior Management and associated personnel on various accounting, marketing, and operations components of the firm.
We are considering local applicants who have strong attention to detail, ability to manage and prioritize multiple projects to meet strict project deadlines. The individual will report to Senior Management. This position is NOT remote.

Qualifications/Experience
- Minimum of (2-5 ) years of experience in successful office administration/support. Experience in the Architecture/Engineering/Construction industries is highly preferred.
- Required: Associate/Bachelor’s Degree or equivalent administrative work experience.
- Highly organized, able to manage multiple projects at once, able to learn quickly from experience and work with minimal supervision towards strict project deadlines.
- Highly proficient in MS Office applications including Excel, Outlook, Word, PowerPoint, etc. including creation of visually appealing graphics in Excel, use of Compare functionality in Word, using add-ons in Outlook, etc.
- Highly Desirable: Experience working with Adobe Creative Suite software, especially InDesign, Photoshop, Illustrator, Dreamweaver.
- Excellent written and verbal communications skills in liaising with a wide variety of internal/external project stakeholders including but not limited to vendors, engineers, architects, consultants, marketing reps, and business leaders.
- Knowledgeable about the bookkeeping process and financial management and its related software. Experience working with such bookkeeping and financial software is preferred (i.e. CMiC, Quickbooks Enterprise, AccountingEase, or equivalent).
- Strong organizational skills & ability to implement standard office procedures/practices upon direction.
- Strong Outlook calendar management skills (experience using Outlook add-ons for ease of use is a major plus i.e. Boomerang, etc.)
- Excellent interpersonal skills, amiable and bright/dynamic personality with the ability to effectively interact with internal/external stakeholders.
- Able to communicate politely and professionally via phone, e-mail, and other forms of internal/external communication.
- Able to maintain confidentiality.
Responsibilities
- Provide administrative support to ensure efficient day-to-day operations.
- Carry out administrative duties such as answering phones/notation of messages, greeting guests, filing, typing, copying, binding, scanning, etc.
- Complete operational requirements by scheduling and assigning administrative projects and expediting deliverables.
- Prepare corporate communications, such as memos, emails, announcements, reports, and other correspondence.
- Support HR efforts, including hiring, staff on-boarding, training, meetings etc.
- Support the Controller and the Finance department on financial reporting and analytics as well as other related administrative tasks.
- Manage accounts and perform bookkeeping as needed.
- Support the Marketing team for creating/editing marketing collateral i.e. brochures, qualifications, RFQs, project cut sheets, Outlook signatures, RFP coordination with Estimating (new projects).
- Schedule appointments and maintain calendars on behalf of the executives.
- Write and edit documents from letters to reports to instructional documents.
- Research and obtain relevant information from other organizations or agencies.
- Submit legal documents to external organizations as may be required.
- Consistently follow up to ensure open items are closed out.
Pay: $20.00-25.00 per Hour. This is a full-time office-based position. Start immediately.
