The Role

The Administrator is responsible for leading the preparation of communications, documents, reports, plus pay and process bills. Create and maintain filing systems both electronic and physical. Primary tasks will involve the day to day processing of our portfolio’s administration. From maintenance coordination, data entry, vendor communication, paying bills, HOA compliance. Including property management administration support. Working within our property management software system AppFolio. Google workplace and other software platforms. Compensation will be a base salary. Plus a benefit package you would expect from an industry leader..

The ability to interact well and fit into a small, highly motivated, multi-functional team that is working in a rapid, simultaneous environment is essential. The role offers the rare opportunity to take ownership in the support of a highly functioning team of licensed property managers. So enthusiasm and knowledge of real estate rental investments is advantageous. You must have a genuine passion for administration work and for real estate.

Responsibilities

The successful candidate must have the ability to meet tight deadlines, have strong interpersonal and communication skills, be detail oriented, and have the ability to work independently. Typical job duties may include but are not limited to the following:

  • Manage utility Landlord Continuation of Services agreements
  • .Appfolio - Manage the flow of information, new tenants and owners
  • Prepare form letters
  • Responsible for data entry, processing invoices and bill pay
  • Work order history reports and follow up
  • Working with the property managers assist with maintenance coordination
  • Provide vacation coverage for the support manager
  • Manage the migration of information from paper to digital format
  • Communicate effectively with Account Manager to streamline back office tasks

Requirements

· Experienced with using Microsoft/Google Workplace suite of Apps.

· Experience with Appfolio software is also a plus.

· Receptive to learning new tools and exchanging knowledge.

· Excellent communicator, team player, resourceful, organized and mindful of time management. Accustomed to going above and beyond.
